Summary: Manage and coordinate Maintenance billability, reporting, and time entry for Maintenance Department by support the overall business functions of the Maintenance Department. This person must work closely with Maintenance Manager and maintain a pleasant and efficient working atmosphere with all business partners both internal and external through open lines of communication. Essential Duties and Responsibilities include the following: (Other duties may be assigned.)Hires quality employees, trains, and actively participates in planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems. Assigns, prioritizes and ensures all work orders are satisfactorily completed. Prioritizes work orders in order of importance before assigning to staff, while maintaining the priority of larger, on-going projects. Develops and implements training procedures to assure development and retention of a quality work force, and to ensure health and safety protocols are followed by all staff. This includes initial training and orientation for new staff, as well as ongoing training for experienced staff. Holds team accountable for the quality standards of all buildings, grounds and mechanical plants, ensuring that public areas, rental units, buildings and grounds meet first class standards at all times. Assists in budgeting, implementing and ensures department financial goals are met. Prepares an annual capital request inventory for the upcoming fiscal year. Balances the department financial goal with providing professional and credible service to our customers. Maintains time and production records and inputs data into our software. Ensure these records are maintained on a daily basis, legible and consistent with work order billing. Work orders shall be organized and include all materials and information necessary for accurate billing. Coordinates preventative maintenance program to ensure that each property and rental unit is kept in excellent shape. Regularly attends HOA meetings and represents the company and team with competency, integrity and honesty. Develops and maintains good working relationships with managed property board members. Performs property inspections on a regular basis to ensure quality of work being completed. Maintains and archives accurate HOA property information including building plans, blueprints, site maps, etc. Upon request, provides oversite on HOA construction projects, assembles Request for Proposals/Bids (RFP/B’s), reviews bids, inspects and communicates progress to HOA boards and company staff. Coordinates freeze check inspections during inclement weather. Maintains an ongoing communication system to quickly alert owners and Owner Liaisons/General Managers of current or potential problems with common area or individual rental unit infrastructure. Builds and maintains a working relationship with vendors to achieve optimal service levels in daily and emergency situations. Studies production efficiency schedules and estimates worker hour requirements for completion of work orders (job assignment). Interprets company policies to workers, monitors and enforces safety regulations. Suggests and implements changes in working conditions and use of equipment to increase efficiency of work crew. Analyzes and resolves work problems, or assists workers in solving work problems. Initiates or suggests plans to motivate workers to achieve work goals. Maintains time and production records and inputs data into current work order tracking system for rental units and home owner associations. Ensures these records are maintained on a daily basis, legible and consistent with work order billing. Work orders shall be organized and include all materials and information necessary for accurate billing. Performs regular walk-through visual inspections ( minimum one per week for each managed HOA) of all managed homeowner association properties to determine condition and establish maintenance priorities. Ensures that sufficient and effective after hours duty coverage is maintained at all times. Must maintain a satisfactory driving record and valid drivers license in order to comply with our insurance requirements of non-livery drivers. Drives to and from properties in a safe and lawful manner. Always being mindful of safety and adherence to the rules of the road. Performs other duties as assigned.
