Overview: Quinnipiac University's School of Business invites applications for the position of Administrative Assistant. This position will perform administrative assistance required to support the office of the Dean of the School of Business and its faculty. Maintain phone coverage and greet visitors and students, take messages, relay information, and answer questions within the scope of knowledge and authority, while directing more complex inquiries to the appropriate offices and employees.

Utilize Microsoft Office (Word, Excel, PowerPoint), and other software applications for correspondence, maintaining data, reports, forms, mailings/Mail Merge. Edit work for accuracy, format, spelling, punctuation, and construction. Assure timely completion of all material.

AACSB accreditation support which includes pulling and calculating data needed for ratio reports, BSQ and ASQ surveys, as well as collecting assurance of learning and impact data.

Galaxy support which includes maintaining faculty lists, data, and biographies and providing assistance to the associate dean in tracking and documenting faculty activities as needed.

Prepare qualification and meaningful service letters for faculty.

Use University systems and procurement policies fully and effectively, to process student information, requisitions and expense reports, grant accounts, and student record keeping. Assist faculty with all reimbursements (travel, supplies, etc.).

Schedule and enter information into the electronic calendar (scheduling the associate dean’s meetings), and university event management system.

Assist with the organization, preparation, and ordering for receptions, information sessions, open houses, and other university and School of Business events and meetings including faculty, chairs, and committee meetings, annual award ceremony) and take minutes at meetings as appropriate

Create and maintain accurate faculty, staff, and committee distribution lists in Outlook. Maintain list of faculty teaching for each semester with required relevant data. Assist with assembling presentations and other documentation required for various faculty affairs-related meetings and events.

Provide back-up coverage to maintain office supply inventory and order supplies as needed.

Provide coverage of other School of Business Administrative Assistants as needed including, but not limited to the SBDeans main inbox

Other clerical duties as assigned.

Education Requirements:

High School Diploma or GED required

Qualifications:

1 to 3 years’ experience working in high traffic office setting

Proficient in Microsoft Word, Excel, Outlook

Attention to detail and excellent organizational skills

Excellent verbal and written communication skills

Event experience preferred

Demonstrated ability to work with diverse populations and a commitment to diversity and inclusion

The hourly rate is $24.83

Work week is 35 hours per week
