Position Overview:
We are seeking a proactive and detail-oriented Administrative Assistant to join our team. This role will be crucial in managing day-to-day office operations and providing executive support. The ideal candidate will be adept at multitasking, have excellent communication skills, and be able to manage various administrative tasks efficiently.
Key Responsibilities:
- General Office Administration:
- Manage and organize office supplies and equipment.
- Maintain filing systems and ensure smooth office operations.
- Handle incoming calls, emails, and other correspondence.
- Executive Support:
- Send emails and manage communication on behalf of the CEO.
- Schedule and coordinate meetings, appointments, and travel arrangements for the CEO.
- Prepare and maintain documents, reports, and presentations for the CEO.
- Social Media Management:
- Assist with creating and monitoring social media content.
-Work with the PR Agency to coordinate specials and social media posts
- Engage with followers and respond to comments or inquiries as needed.
- Meeting Preparation:
- Prepare meeting agendas, minutes, and follow-up action items.
- Coordinate and prepare materials and presentations for board and staff meetings.
- Ensure all logistical aspects of meetings are managed effectively.
Qualifications:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and social media platforms.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Ability to handle sensitive and confidential information with discretion.
- A proactive approach with excellent problem-solving skills.
- Bilingual (Spanish/English). Not required but is preferred.
Education and Experience:
- High school diploma or equivalent; Associate's or Bachelor's degree in Business Administration or related field is a plus.
