Position Responsibilities:

Responsible for performing and coordinating all administrative functions in support of the structured cabling systems (SCS) and audio-visual project management activities including, but not limited to:

Assist the Project Management Team in estimating material and labor requirements for each project; ensure each proposal achieves the profit margin target.

Assist facilitation of the project life cycles, including bid submittal, RFIs and project closeouts.

Create purchase orders and work with established vendors ordering material for the projects; Audit and reconcile invoices to ensure the correct quantity is received.

Work with Project Management Team in coordinating SCS and AV construction projects by managing, maintaining, and tracking project workflow.

Prioritize and coordinate multiple projects to ensure deadlines are being met. Track critical information and maintain records and files on projects.

Schedule required inspections for permits as directed by the Team. Submit the low voltage electrical permits, enter permits into the log, and forward to the client.

Assist in the collection, review, status, and organization of project documentation, data deliverables, and closeout documents.

Receiving and downloading test results to prepare for project closeout.

Establish and execute effective communication with Project Stakeholders. Be a contributing part of the team and support other departments as needed.

Other duties as assigned.

Position Requirements:

Up to three (3) years’ administrative experience in a fast-paced office environment.

Experience in the construction or structured cabling system industry desirable.

Proficiency in Microsoft Office.

Excellent organizational skills; ability to prioritize job responsibilities to meet all contract deadlines in a fast-paced work environment. Mult-tasking skills required.

Demonstrate a high degree of initiative, as well as excellent problem-solving abilities.

Ability to work independently; Excellent punctuality and reliability record with willingness to work overtime, often on short notice.

Adherence to regular attendance, and normal scheduled hours. Must be willing to work a flexible schedule determined by client site requirements i.e. early morning and/or evening hours.

High school diploma or GED required; College degree desirable.

Professional, team-oriented work ethic; ability to see the ‘Big Picture’.

Excellent written and verbal communication/presentation skills and customer service skills; Ability to work and correspond with a wide range of individuals ranging from senior executives to construction personnel.

Experience in performing basic mathematical calculations.

Due to client requirements, US citizenship is required.
