ROLE DESCRIPTION: As our Construction Office Manager you will play a crucial role in our office. We are seeking a hard-working individual to handle and take ownership of a busy construction office. As a successful Construction Office Manager, you will be a highly-motivated, detail-oriented professional who works independently, enjoys construction and works well under deadlines in a fast-paced environment. Your main mission in our company is to be a trusted partner.
HOW YOU WILL CONTRIBUTE: This position runs the Office, assisting project managers on all back-end business operations.
Working closely with accounting on accounts receivable and payable.
Overall office compliance, day-to-day admin, and office maintenance.
Handling the company’s contracts.
Handling insurance and subcontracts.
Handling the renewals of the business licenses.
Handling weekly progress reports to project managers and clients.
Provide support for Project Managers while they are in the field.
Acting as the funnel from the field to the office.
Assisting with scheduling of sub-contractors with daily reminders.
Following up with suppliers/ vendors.
Being the liaise between Operations and Accounting.
Coordinating delivery of materials.
Managing purchasing/procurement when required.
Schedule inspections & occasionally attend them
QUALIFICATIONS:
Experience in Office experience (construction industry experience a plus).
Solid written and verbal communication skills.
Advanced organizational and analytical skills; demonstrated ability to manage multiple tasks simultaneously while being proactive and thinking about the next steps. Proactive versus reactive.
Intermediate proficiency and experience using Microsoft Office Package (Outlook, Excel, Word) and Dropbox.
Self-starter/thinker. Capable of doing research online. A problem solver.
Deliver prompt and qualitative administrative support as well as seamlessly complete day-to-day project management/office management tasks.
Proven ability to manage office administration including master scheduling, vendor requests, document coordination, sample procurement, and ordering (fencing, portable toilets, temporary power poles, etc.).
Spanish language skills are a plus but not required.
Job Types: Could be Full Time or Part Time
Pay: $25.00 - $35.00 per hour
Expected hours: 40 per week
