We are seeking a highly organized and detail-oriented Administrative Assistant to support a growing tax preparation and estate planning business. This role involves a mix of administrative, clerical, and client-facing tasks. The ideal candidate will be responsible for managing daily operations, coordinating schedules, handling client communications, and assisting with the preparation of legal and financial documents.
Key Responsibilities:
Answer and manage incoming phone calls and emails in a professional manner
Schedule and confirm appointments; maintain the Paralegal and Tax Agent's calendar
Prepare and proofread legal documents for estate planning (e.g., wills, trusts, powers of attorney)
Assist in organizing and reviewing tax documents and client files
Ensure timely follow-up with clients and manage document flow
Maintain accurate records and filing systems (digital and paper)
Perform data entry, form completion, and document formatting using Microsoft Word
Handle sensitive information with discretion and confidentiality
Qualifications:
Proven experience as an administrative assistant or office support professional
Proficiency in Microsoft Word; familiarity with Excel and PDF editors a plus
Excellent verbal and written communication skills
Strong attention to detail and ability to multi-task
Experience in tax, legal, or financial services preferred
Ability to work independently and manage time effectively
