We’re seeking a reliable, organized, and customer-focused Dispatch & Sales Support Specialist to join our growing HVAC team. This dual-role position plays a critical part in ensuring smooth daily operations by managing technician schedules, handling customer communication, and following up on open sales leads and estimates. You’ll be the primary link between our technicians, customers, and sales team—keeping everyone informed, aligned, and moving forward. Monday thru Friday 8a to 5p hours, 5 day work week with OT available. NO on call, NO Sundays

Key Responsibilities -

Dispatching:

-Intake of clients via phone and email commuication

-Schedule and dispatch HVAC technicians for service, maintenance, and installation jobs

-Monitor technician status and update jobs in real-time via dispatch software

-Communicate with field techs to relay information, changes, or customer requests

-Maintain accurate records of job status, scheduling notes, and time tracking

-Manage and adjust schedules for efficiency and customer satisfaction

Sales Follow-Up:

-Follow up on open proposals, estimates, and pending sales opportunities via phone, email, or text

-Maintain detailed follow-up logs in CRM or scheduling software

-Assist with coordinating site visits and consultations as needed

-Support the sales team by updating lead status and gathering any additional customer information

-Build rapport with customers and provide outstanding service during all follow-up interactions

-Commission on closed sales, rates vary based on job.

Qualifications:

-Prior experience in HVAC, plumbing, or service industry dispatch (preferred)

-Strong phone communication and customer service skills

-Organized, detail-oriented, and able to manage shifting priorities

-Proficiency with scheduling and CRM software (ServiceTitan, Housecall Pro, or similar is a plus)

-Comfortable making outbound calls for follow-ups and client engagement

-High school diploma or equivalent (some college or tech training a plus)
