JOB DESCRIPTION

Position: MAINTENANCE SERVICE COORDINATOR

Reports To: Facilities Manager, Facilities Administrator, and Property Manager

Purpose and Scope: To perform maintenance coordination duties and assist in administrative functions. This position will function independently, with coordination and assistance from others. Looking for someone interested in taking on ownership of their position!

PRIMARY DUTIES

Act as liaison between the Facilities Manager, Property Manager, vendors and tenants in handling problems, complaints, and compliments, and scheduling maintenance and repairs to the buildings.

Assist Facilities Manager in maintaining and administering a work order system for tracking repairs and maintenance to buildings. Update and complete all assigned work orders.

Dispatch calls to the maintenance staff as directed by the Facilities Manager.

Contact vendors on behalf of the Facilities Manager.

Research, order, and process work order invoices for supplies and services.

Assist the Property Manager in management of parking lots and garages.

Assist Facilities Manager, Property Manager, and tenants with security guidelines.

Confirm and update maintenance staff labor hours and bill work orders to the appropriate party to ensure proper job costing.

Assist the Facilities Manager and Property Manager with typing, proofreading, completion of various reports and forms, filing, answering phones, making appointments, calling vendors, writing correspondence, etc.

Maintain a “tickler” or date file for items requiring attention on a particular date.

Provide assistance to the Facilities Manager, Property Manager, maintenance staff, vendors and tenants during emergencies.

Maintain keys for assigned buildings.

Answer phones.

Update various spreadsheets and databases.

Promote a positive image of Red Property Management, the building, and clients.

Any other duties as assigned.

QUALIFICATIONS

Good communication skills, both oral and written.

General administrative experience with detailed working knowledge of word processing and spreadsheets.

Ability to accomplish tasks with little direct supervision. This particular position would be very independent, after initial training, so we want someone who is self-motivated and wants to work independently.

Ability to work with and understand the problems and attitudes of tenants and vendors.

Excellent customer service skills.
