Pay: $50,00.08 Annually Position Summary: This is a position within the Office of the Attorney General, Administrative Services – Finance & Accounting. This position will oversee the final review of both STMS and WORKS transactions which will require a working knowledge of the Statewide Travel Management System, Bank of America PCard WORKS and FLAIR. Qualifications:

A bachelor's degree from an accredited college or university and three years of professional experience in systems analysis, management analysis, program planning, program research, program evaluation, engineering, or administrative work.

A master's degree from an accredited college or university can substitute for one year of the required experience.

Professional or nonprofessional experience as described above can substitute on a year-for-year basis for the required college education.

Preference may be given to those applicants who have experience working with both the STMS and PCard Works applications.

Note:Experience must be documented on the submitted application.

The Work You Will Do: This position includes but is not limited to the following duties:

Audits various types of invoices which include but are not limited to travel and expense reimbursements; purchase orders; contractual services; subscriptions; machine leases; maintenance agreements; grant payments; local project grants; lease payments; revolving fund reimbursements and insurance payments.

Preparing code sheets for data entry into the Florida Accounting Information Resource (FLAIR) using the appropriate cost centers and making the required number of copies to be included with the voucher that is kept both internally and/or sent to the Department of Financial Services when required.

Audits and process purchasing card payments within the PCard Works application within the 10-day time frame according to the CFO’s Reference Guide for State Expenditures and agency procedures.

Verifies authorization of payment and ensures compliance with 215.422, F.S.

Verify changes on invoices and direct orders.

Prepares DFS Contractual Service Summary forms as necessary which includes researching and reporting previous payments.

Prepare journal transfers to allocate costs to the appropriate offices.

Contact vendors concerning errors on invoices, overruns, shortages, and all other problems.

Check invoices over 30 days old, verifying whether paid previously or still outstanding.

Research outstanding invoices and statements received from vendors and communicate with vendors as needed.

Assist with the Reconciliation of the outstanding encumbrance reports on a quarterly basis.

Process requests for warrant cancellations and duplicate warrant, including maintenance of document files.

Review voucher schedules to ensure that required documentation is included and amounts are correct prior to submission to DFS for payment of all invoices. This includes TR58 corrections, journal transfer corrections, reduction and deletion of payments.

Acts as the primary reviewer for the PCard Works application ensuring that all the required documentation has been submitted and that the appropriate cost centers/project codes are used.

Acts as the backup for the Finance and Accounting Director II.

Assist in handling questions relating to payments that are handled by Finance and Accounting unit upon receipt by fax, email, or phone.
