In this capacity, you will assume critical responsibilities as the personnel liaison. As such, the office manager is responsible for preparing personnel actions, serving as timekeeper by maintaining attendance and leave records, and preparing position requisitions through the People First System. The incumbent will work with the DOE Comptroller and Budget offices to ensure vendors invoices are processed accurately and timely. This position performs highly responsible and confidential administrative work assisting the Chief of Educator Certification. The employee must be productive under tight timeframes, balance priorities and maintain goal-directed behavior and performance sometimes under stress. The employee ensures that timesheets are completed in the People First system by the 5th business day of the following month. The employee must interact courteously with others.General Responsibilities: This position handles confidential communications, correspondence, reports, and files. This position requires familiarity with Florida Statutes and State Board of Education Rules governing the educator certification process to support the prioritization of internal and external requests and inquiries. This position must maintain confidentiality at all times. Attendance is an essential function of this position.Specific Responsibilities: Prepare all new hire paperwork and other personal packets. Complete the Onboarding process for new employees and coordinate their mandatory DOE employee training. Collaborate with DOE Personnel Office regularly to resolve BEC employee issues. Prepare travel authorizations, arrangements, and reimbursements for the Chief and Directors. Tracks BEC expenditures and assists in preparation of legislative budget requests. Prepare drafts of memoranda and correspondence. Serve as the lead for Exchange Teacher No Objection Letter requests (memo, organization research and routing). Assist the Chief by maintaining the BEC Leave Calendar and monitoring staff attendance. Maintain busy season overtime hours and leave requests. Monitor the performance of other support staff members and report to the Chief and schedule weekly meetings with staff assistants to maintain quality bureau support between units. Coordinate purchases, surplus pick-ups, and office maintenance requests with administrative staff. Prepare purchase orders and maintain the tracking system for the bureau's fiscal records.Knowledge, Skills, and Abilities: Knowledge of Florida State Board of Education Rules and procedures governing issuance of Florida Educator Certificates. Ability to understand and apply applicable rules, regulations, policies, and procedures. Ability to plan, organize, and coordinate work assignments.
