General Contractor seeking Office Manager:
Full-time – Monday-Friday - 8am-4:30pm
Salary based on experience and qualifications
Qualifications:
Bilingual – English/Spanish (Required)
Must have a valid drivers license and reliable transportation
Microsoft Office: Excel, Word, Outlook Email/Calendar
Proven experience as an administrative assistant, or in a similar role
Excellent organizational and time management skills / Self-motivated
Letter writing skills (Grammar, Formatting, Spelling, Etc.)
Strong attention to detail and accuracy in work
Internet navigation
Knowledge of QuickBooks is a plus
Construction office experience a plus
General Duties and Responsibilities include but are not limited to:
Telephone etiquette, good-friendly phone voice
Ability to multitask and prioritize tasks effectively
Provide high-level administrative support to senior management
Manage calendars, schedule appointments, jobsite inspections and meetings
Prepare/proofread/scan/email/file documents, contracts, change orders and general correspondence
Perform data entry and maintain accurate records (i.e. Subcontractor's Proof of Insurance)
Assist with customer service inquiries and provide support as needed
Operate phone system, answer calls, and direct inquiries to the appropriate personnel
Perform general clerical tasks such as filing, scanning, copying, and organizing documents
Correspondence / Follow up with clients
Strong customer service orientation
Supply inventory / organization
Retrieving files for senior management
