Job Description: POSITION SUMMARY The Special Projects Manager and Assistant to the Vice President is responsible for supporting strategic enrollment planning initiatives as directed by the vice president. The position provides day-to-day support for Enrollment Management division operations and communications, project management support for the Enrollment Management leadership team, and executive-level administrative functions for the vice president and the division. Performs a wide range of duties which require tact, sensitivity, independent judgment, diplomacy, organizational skills, flexibility, discretion and confidentiality. The successful candidate will play a critical role in OHIO’s commitment to reducing barriers to education, supporting diverse students, and building a sense of belonging for all.KEY RESPONSIBILITIES Manages multiple projects to support the work of the division. Collaborates with cross-functional areas, including offices/units within the division and partners such as Institutional Effectiveness and Analytics, to obtain data or analysis in support of the vice president’s initiatives. Manages strategic enrollment initiatives through the leadership team to develop plans and ensure deliverables and milestones are met. Conducts necessary research and analyzes information to support recommendations and decision-making in both short-term and long-term projects. May attend meetings or communicate on behalf of the vice president, provide outcomes, and track progress.Supports the vice president with effective and strategic calendaring, meeting organization, agenda preparation, committee management, and event planning for special enrollment division activities. Proactively anticipates the vice president’s scheduling needs and effectively conserves time, soliciting and providing necessary information to ensure timely, thorough, and adequate preparation. Handles routine and non-routine inquires to the vice president and ensures professional and collegial communications within stakeholders and constituents.Facilitates and manages communications both within the division and externally, preparing draft communication and managing daily correspondence for the vice president as needed. Develops and coordinates internal division communication tools to ensure that team members are engaged, informed, and collectively tracking division priorities and progress.Supports the vice president with research, communications, report preparation, analysis, data collection and provides high-level creative support for presentations and other materials to help the vice president tell the University’s enrollment story. Collaborates proactively with various University partners to ensure smooth and efficient operations, escalating pertinent information as necessary. Coordinates logistics of planning unit transitions and personnel matters, including new employee onboarding and search process support. Manages travel arrangements and expenses for the vice president and/or their designee. Supports the division’s senior business manager and other leadership team members as needed, in partnership and alignment with the University’s evolving Business Service Center model. Ensures the confidentiality of all work product, conversations, and planning.Minimum Qualifications: The successful candidate will have a minimum of a Bachelor’s degree conferred by start date and at least 3 years of related work experience. Must possess excellent written and oral communication skills, as well as demonstrated good judgment and problem-solving skills. Strong analytical and critical thinking skills, project management ability, and attention to detail are required. Must have excellent computer skills including proficiency in MS Office Suite and Internet-based collaboration tools.
