Description We are seeking an Executive Assistant to join our team based in College Park, Georgia. This role offers a contract to hire employment opportunity, providing critical support to our executive team within our industry. The Executive Assistant will be responsible for managing and maintaining executive schedules, coordinating team meetings and events, and preparing necessary documents and reports.Responsibilities: Coordinate and manage executives' schedules, travel arrangements, and appointments. Oversee logistics of team meetings and events, including agenda preparation and follow-ups. Review and distribute incoming correspondence, including emails and mail, in a timely manner. Prepare and edit reports, memos, invoices, letters, and other documents using various software. Conduct research, compile data, and prepare reports for executive consideration and presentation. Manage interactions between the executive team and employees or external clients to maintain a smooth flow of communication. Organize and maintain department’s files and records for easy retrieval and record keeping. Ensure efficient operation of office equipment and manage office supplies to maintain a well-stocked and resourceful workplace. Coordinate and communicate effectively with various other departments to enhance interdepartmental collaboration. Assist in the development of contacts and relationships with community stakeholders to promote community engagement. Requirements Proven experience as an executive assistant or similar administrative role Knowledge of office procedures and systems Proficiency in using ADP - Financial Services Familiarity with Cisco Webex Meetings Proficiency in using Concur for travel and expense management Experience with CRM systems for customer relationship management Knowledge of Kronos Timekeeping System and About Time for accurate time tracking Strong skills in calendar management and scheduling Excellent communication skills, both written and verbal Experience in handling conference calls and professional correspondence High level of discretion and confidentiality Ability to multitask and prioritize tasks Strong problem-solving skills Excellent organizational and time management skills High level of attention to detail Ability to work independently and as part of a team.
