Under minimal supervision and acting on their own initiative, perform advanced administrative support for executive level managers in a fast-paced and demanding environment. Assignments typically involve work of a confidential nature and require extensive knowledge of department, business unit and company practices, policies, and programs.The Main Responsibilities

Proactively and strategically manage complex calendars, understanding business priorities to keep schedules organized and optimized.

Assembles and analyzes information and prepares reports, manuals, agendas, correspondences, and memoranda.

Coordinates activities across departments and business units.

Utilizes critical thinking skills and a thorough knowledge of the business and organization to prioritize advanced-level executive administrative work.

Accurately and professionally handles multiple simultaneous high-priority issues.

Drives priorities and critical items through task lists and manages short-term and long-term deliverables.

Accurately and efficiently conducts ad-hoc administrative tasks such as processing expense reports, invoice processing, supply orders, and meal arrangements.

What We Look For in a Candidate

Bachelor’s degree or equivalent

5+ years of recent experience working with or supporting a senior executive or equivalent experience

Proven ability to succeed in a demanding, fast-paced environment, maintaining a strong sense of urgency

Effective organizational skills with focus on confidentiality, accuracy and attention to detail

Excellent verbal and written communication skills

Demonstrates a positive attitude, and resourcefulness and maintains composure in high-pressure situations

Experience with other electronic and web-based systems (such as SAP and Concur) to process invoices, travel arrangements, etc.

Schedule flexibility to work outside of routine hours

Availability for occasional travel to offsite meetings

CompensationThe starting salary for this role differs based on the employee's primary work location.   • Summary This position is assigned to the Non-Appropriated Fund (NAF) Community Programs (N922) Branch; Morale, Welfare, and Recreation (MWR) Recreational Fleet and Family Readiness Support Services (N94); Commander, Navy Region Hawaii, at Joint Base Pearl Harbor Hickam (JBPHH), Honolulu, HI. The purpose of this position is to provide customer service to patrons, sales of tickets, and perform a variety of duties in support of the Information, Tickets, and Travel program. Responsibilities Duties include, but are not limited to: Provide customer service, information and support of community recreation programs and activities. Provide services to MWR customers, which includes, but is not limited to checking ID cards to ensure authorized use of recreation facilities, resources and equipment, providing information about activities and program offerings, opening and closing facilities, ordering and restocking supplies, and preparing snack bar menu items or pre-packaged retail items. Collect fees from customers associated with sales of tickets, retail and rental items, as well as from classes, trips, and various other community recreation programs using Point of Sales (POS) and computer programs. Complete a Daily Activity Report (DAR) at the end of every shift and is accountable for the accuracy of daily sales transactions. Assists in processing customer Internet registrations (i.e. Net Near You), initial log-ins and event registrations. Checks Community Recreation equipment and resources in and out, collects any applicable rental fees, inventories items and completes inspections upon return. Notifies supervisor or program lead if damage or loss has occurred. Ensures all rental or checkout forms are properly completed and reservation and checkout procedures are followed. Conducts inventory for proper accountability of program equipment and resources. Inspects, maintains and performs upkeep maintenance and repairs on all equipment and resources.
