Meet the Mana Maoli ʻohana! We are a Hawaiian non-profit serving thousands of youth across 23 schools and 4 islands, via our Mana Mele Project (Hawaiian culture-based music & multimedia services) and other mission-aligned projects. We also provide ʻEdu-tainmentʻ as time allows to our online followers (over 350k on FB/IG).

With a few of our staff being promoted and/or reducing to part-time hours and unexpected leaves of absence, we are seeking additional qualified, committed, and passionate team players for the following position. This is currently an interim role, with the final structure dependent on budget clarity and variables such as multiple staff on extended leave. Both part-time and full-time options are available, depending on performance and available funding. However, the need for interim help is immediate:

Interim Position (with the possibility of long-term):

Hui Hoʻokō - Hope Hanana, Hope Poʻo, Kākoʻo Hoʻokō

(Executive Team - Events Coordinator, Assistant Director, and/or Executive Assistant)

- Full time - Events Coordination & Executive Team duties - assisting the Executive & Finance Directors with various admin duties, and support of all other teams (Program, Community Development, Digital Storytelling, Resource Development) as needed

- Part-time - Focus on 1 of above, and support role on the other as time allows

- Lead or support role - pending relevant experience and progress during the 1st 3-6 months

About Mana Mele:

All available positions are primarily or entirely in support of the Mana Mele Project, which teaches Mana Maoliʻs ABCs (Academics, Business, and Culture) through Music and/or Multimedia across a diverse range of genres and styles. We serve K-12 youth, as well as alumni and college interns, across 4 islands and 23 partner schools, including all 15 Hawaiian-focused public charter schools.

Kuleana:

With 2 team members on sabbatical and bereavement leave, we are seeking interim help for our Executive Team, with this position having long-term potential pending performance and available funding.

A full-time position would entail a mix of Events Coordinator (EC) and Executive Team duties, whereas a part-time position would focus on one of these areas, ready to support with the other as needed. Executive Team duties would be in the capacity of Executive Assistant (EA), Senior Executive Assistant (SEA), or Assistant Director (AD), depending on experience level.

This is a great opportunity for those with excellent verbal and written communication, organizational, multi-tasking, and event planning skills and experience. Like the Executive Director, this position involves a wide array of tasks and, on any given day, could be working with any given team in the nonprofit based on priority tasks and projects at the time. Below are common types of tasks that occur in addition to ‘one-off’ or project/team-specific tasks:

1. Lead and oversee planning and implementation of events, i.e. Artist School Visits, film shoots, kanipila, etc.

2. Communication/Coordination - i.e. Drafting/sending correspondence via email, text message, phone etc., to partners, funders, and staff on behalf of the ED

3. Organization/Filing - i.e. Documenting, prioritizing and tracking status of own and ED’s tasks and key correspondence (using Asana task management software)

4. Assist with budgets, spreadsheets, and Google form surveys

5. Assist other team leaders and staff (program, audio/video, and social media) as needed, participating in meetings with or on behalf of the ED, and related note-taking

Minimum Qualifications:

- Must live on Oʻahu

- College degree (BA or higher)

- Highly organized, i.e. able to quickly prioritize tasks, proficient in task management

- Strong desire to work with the Hawaiian community in a Hawaiian cultural context and engage with youth

- Detail-oriented and able to handle multiple projects simultaneously

- Strong written and verbal communication skills

- Flexible availability, including scheduled or on-call evening and weekend hours when needed for events or to meet grant deadlines.

- Excellent people skills, able to work with a wide range of people and learning styles

- Proficient in Google Workspace Apps (Gmail, Drive, Sheets, Forms, etc.)

Additional Minimum Qualifications specific to each Executive Team position:

- EA: 2-9 years experience as an Executive Assistant or equivalent

- SEA: 10+ years experience as an Executive Assistant or equivalent

- AD: 4+ years in leadership-level positions at a Hawaiian culture-based nonprofit, directly overseeing 10 or more staff, or 15+ years in a mix of support and leadership positions at a Hawaiian culture-based nonprofit.

Preferred Qualifications

Having 1 or more of the following qualifications is ‘nice but not necessary’ and would not affect decision making in the selection process, except possibly as a tiebreaker among the top 3 candidates for the EC + EA/SEA/AD positions:

- 4+ years experience in event planning/implementation

- Proficiency in ʻōlelo Hawaiʻi and/or various aspects of Hawaiian culture

- Experience teaching and/or working with youth, especially Hawaiian and low-income youth, and/or Hawaiian nonprofits

- Networks related to the fundraising, donor development, and/or implementation of the Mana Mele Project

- Skills and experience related to 1 or more of the 4 areas of Mana Mele mentorships: music, audio engineering, video production, and communications (TV, radio, news)

- Proficiency in Asana

- Experience writing and managing grants

A few things that apply to all staff positions:

1. Compensation varies greatly based on relevant experience and skills. Many applicants prefer to discuss this topic if they make it to the final round, which definitely works on our end. 2. Our selection process is not normal. For example, to come out on top for any given position, we run you through the ringer – those who advance past the initial interview (30-60 minutes) are invited to a scenario exercise (up to 2 hours). If you advance further, we mahalo you with gift cards, because its another round each of interviews and scenario exercises, and reference checks for the top 3 candidates. It's awesome to help both you and us determine the best fit, but if you are unable to invest that amount of time to determine if we are a fit for you, we understand!

3. A majority of work can be done remotely. Staff positions (20-40hrs/week) do include in-person meetings/work sessions averaging once a week, and/or being onsite at the schools, film shoots, kanipila (jam sessions), etc as needed.
