The Hawaii Restaurant Association (HRA) is seeking an Executive Project Coordinator to serve as the main point of contact for the organization, providing high-level administrative support in a well-organized and timely manner. This role involves managing a variety of tasks related to daily communications, projects, and events.
This is a remote position but requires residency on Oahu, Hawaii, as occasional in-person meetings and events are necessary. Candidates must have a quiet workspace suitable for making calls and participating in online meetings.
This hybrid role operates as an Independent Contractor, with required availability Monday through Friday, 9:00 AM to 2:00 PM (mandatory hour: 9:00 AM to 10:00 AM daily). Occasional weekend or in-person commitments will be prearranged and agreed upon.
RESPONSIBILITIES
Take initiative on projects and ensure follow-through with minimal supervision.
Handle internal and external requests promptly and appropriately.
Manage calls, messages, and correspondence.
Act as the primary liaison between the public, Board of Directors, members, and external clients.
Maintain and manage the association’s calendar, appointments, and reminders.
Prepare meeting agendas and record meeting minutes.
Create reports, presentations, and briefs.
Maintain efficient documentation and online filing systems.
Effectively manage remote work responsibilities.
Exhibit a professional demeanor in all interactions.
REQUIREMENTS
Proven experience as an Executive Administrative Assistant, Senior Executive Assistant, Project Coordinator, or similar administrative roles.
Proficiency in Google Docs, Sheets, Calendar, and Microsoft Office Suite.
Strong organizational skills and familiarity with administrative procedures.
Must have access to:
Own cell phone.
Laptop.
Reliable Wi-Fi in a home office.
Proficiency in hosting virtual meetings (primarily Zoom).
Exemplary planning, time management, and multitasking skills.
Ability to pivot quickly and adapt to changing priorities.
High-level verbal and written communication skills.
Discretion and confidentiality are essential.
Must have access to a reliable automobile for errands, deliveries, and pickups (mileage reimbursed).
High school diploma required; additional qualifications as a personal assistant are a plus.
Proficiency in English.

COMPENSATION & START DATE
Salary: Commensurate with experience.

Compensation: Project-based, with rates determined by experience and project scope. Details will be discussed during the interview process.
