Job Title: Project Coordinator 2Job DescriptionThe Project Coordinator is part of our workplace design and architecture practice and works closely with our Project Management Teams to provide administrative support on a variety of project types. Day-to-day responsibilities will consist of initial project setup, project forecasting, invoicing, and team utilization and realization tracking for projects through all project phases. The Project Coordinator will provide support to the project management team by leading project setup of various project types and sizes, and aiding in financial, operational, and administrative management through the life of various projects. This role involves estimating support for approximately 20 projects monthly with a value of approximately $250-300K in monthly revenue. The candidate will develop trust with internal teams and client partners by providing a consistent eye for detail, taking a proactive approach, and exhibiting sound judgment and problem-solving skills. Project Coordinator duties include: - Proposal support - Initial project setup in internal project management system to support finance and operations - Client and external vendor setup - Support in issuing purchase orders and other contract agreements - Project setup for internal project teams through shared online folder management system - Completion of project charters at project kickoff - Continued tracking of actual monthly revenue and forecasted revenue - Support monthly invoicing efforts - Support for tracking monthly utilization and realization reporting - Support the flow of information on all phases of the project to ensure internal and external deliverables are achieved and proper approvals are met - Manage multiple projects simultaneously - Support development of project authorization forms, proposals, and contract amendments - Help develop efficiencies and establish best practices - Troubleshoot and assist in proactive problem resolution - Review draft deliverables for quality and accuracy against client expectations - Learn and utilize project management software including data input and reporting - Attend client meetings and calls, take detailed notes, publish meeting notes, and take action when necessary - Contribute to the development of case studies and thought leadership.Hard Skills
Experience in business finance and/or operations
Six to eight years of experience in a project coordinator or management role
Solid understanding of finance, operations, and/or project management methodology
Strong Microsoft Office and Teams software skills
Understanding of Adobe Workfront
