A mid-size Chicago law firm seeking full-time Litigation Docket Manager. The ideal candidate must be a motivated self-starter with a high level of attention to detail and advanced problem-solving skills. They should possess the ability to multitask in a fast-paced environment and work well in a team environment while independently being able to follow through on a task from start to finish. They should also have demonstrated the ability to communicate clearly and effectively, both orally and in writing, and the ability to provide quality client service to both internal and external contacts. Job Description:

This position will oversee daily activities required for maintenance of the firm’s docket files and records as well as supervise a team of docket specialists and clerks that track important legal and filing deadlines for designated clients and cases. In addition, the Litigation Docket Manager must be able to handle other overflow assignments as needed.

Primary Responsibilities:

1. Retrieve electronic documents in local, state, and federal courts and agencies, retrieval of requested documents from any available jurisdiction.

2. Docket and calendar legal documents for all Midwest SST offices.

3. Respond to questions from attorneys and staff regarding procedural aspects of any legal venues the firm may be engaged in.

4. Complete all assigned docketing and calendaring work in a timely and accurate manner.

5. Review litigation documents for relevant dates and effective use the docket and calendar system to index court documents and enter applicable dates.

6. Serve and file documents in person if needed.

7. Monitor changes to various states and federal procedures, summarize and communicate these to Midwest offices as appropriate.

8. Administer firm internal docket database.

9. Open and close cases.

10. Coordinate new client transfers.

11. Oversee work output by other docket department employees.

12. Manage and carry out additional projects that pertain to docket department functions on behalf of firm clients.

13. Implement new procedures and train other docket team members on such.

14. Investigate, correct, and coach team members and other staff on docket procedural errors.

15. Plan and coordinate special projects for seasonal file clerks.

Job Requirements:

Bachelor’s Degree (equivalent training and experience may substitute for education)

5 years directly relevant experience providing litigation docketing services and support.

Strong working knowledge of Illinois civil practice law and procedures.

Advanced knowledge of litigation case management systems, docketing software, e-discovery, and electronic calendaring systems.

Good working knowledge of state and federal databases including PACER, File & Serve Xpress, Pohlman, CCC Portal and Odyssey.

Advanced ability to use internet resources as a research tool.

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)

Preferred Education and Experience:

Previous supervisory or management experience within a law firm.

Previous docketing or legal litigation support experience.

Previous asbestos defense legal support experience.
