Immediate Opening for a Operations Assistant – Commercial Asphalt, Concrete & Snow Services

Position Overview

The Operations Assistant plays a key role in supporting daily field operations, logistics, scheduling, and customer coordination for our asphalt, concrete, and snow/ice removal services across our commercial property portfolio. This role ensures that crews, equipment, materials, and communication are all aligned so projects run efficiently, safely, and on schedule. The Operations Assistant works closely with the Operations Manager, Fleet, Sales, and Admin teams to keep the field side of the business running smoothly.

Key Responsibilities

Daily Operations Support

Assist with scheduling crews, subs, and equipment for asphalt, concrete, and snow operations.

Monitor job progress, crew check-ins, and route compliance during snow events.

Prepare daily dispatch sheets, site packets, work orders, and updated job notes.

Support the Operations Manager with planning and organizing weekly labor/equipment needs.

Communication & Customer Coordination

Serve as a point of contact for property managers and internal teams for basic updates, service confirmations, or documentation requests.

Notify customers of scheduled work, weather delays, or site access issues.

Document customer requests, complaints, and follow-ups in the CRM and ensure timely resolution.

Logistics & Equipment Coordination

Work with Fleet to track equipment placement, moves, fueling, repairs, and readiness—especially leading into snow season.

Ensure material (salt, asphalt, concrete mix, aggregates, etc.) is available and properly allocated for upcoming jobs.

Keep inventory logs updated for salt, tools, PPE, and consumables.

Field Documentation & Reporting

Support quality-control tracking: upload photos, completion reports, site notes, and punch list items.

Review and organize before/after photos and job documentation for billing and customer records.

Maintain accurate job files, loadout sheets, and season-to-date summaries (snow tonnage, hours, event logs, etc.).

Administrative Support

Assist with onboarding and documenting seasonal snow staff.

Help compile payroll information such as event hours, equipment hours, and subcontractor payments.

Update spreadsheets, trackers, route maps, storm plans, and site detail sheets as needed.

Required Skills & Qualifications

Strong organizational skills with the ability to juggle shifting priorities—especially during weather events.

Excellent communication skills (phone, email, text).

Comfortable using spreadsheets, scheduling tools, CRMs, and mobile apps for field communication.

Ability to work early mornings, late evenings, or weekends during winter events (as needed).

Valid driver’s license preferred; ability to travel locally to job sites when needed.

Experience in construction, facilities, landscaping, or snow removal industry is a plus.
