Accounts Payable Manager

Description This Accounts Payable contract role leads and oversees the daily operations of the accounts payable process, including invoice processing, payment disbursement, and month-end AP closing activities. Ensures accurate and timely processing of all accounts payable transactions, including vendor invoices, employee reimbursements, and purchase orders. Creates and implements KPIs, dashboards, and analysis to measure and improve team performance, working capital management, and customer satisfaction. Oversees the processing of invoices, including the development and execution of the processes that match invoices with purchase orders, coding, and creating workflow approvals. Develops and implements policies and procedures that provide for internal controls and align with accounts payable best practices. Maintains and updates vendor records, ensuring compliance with company policies and regulatory requirements. Ensures that invoices or other financial obligations are processed and paid in a timely manner. Maintains payment records and ensures that transactions are posted to the company ledger, reconciling the accounts payable sub-ledger to the general ledger monthly. Monitors and manages cash disbursements, ensuring proper timing of payments to optimize cash flow. Reviews and approves vendor setup and maintenance, including W-9 forms and contract compliance. Oversees the company’s travel and expense program, including policy enforcement, expense report processing, and corporate card management. Ensures compliance with the company’s T& E policies, reviewing and approving employee expense reports. Implements and manages an automated expense reporting system, ensuring integration with the accounts payable system. Provides regular reports and analysis on travel and expense spend, identifying areas for cost control and process improvement. Coordinates with the treasury team for cash flow management and payment scheduling. Continuously evaluates and improves accounts payable processes and procedures to enhance efficiency and accuracy. Collaborates with procurement, finance, and other departments to streamline processes and enhance cross-functional workflows. Maintains strong relationships with vendors, resolving any issues related to payments or invoicing in a timely and professional manner. Negotiates payment terms and discounts with vendors to optimize cash flow. Ensures team success through ongoing coaching, development, recognition, open and honest communication, and an overall engaging environment. Serves as the main point of contact for all AP-related inquiries from internal and external stakeholders. Protects the confidentiality, security, and integrity of company and supplier information. Monitors and ensures compliance with regulatory requirements related to the company’s accounts payable policies and practices.
