Description A client at Robert Half is offering a contract employment opportunity for an Administrative Assistant/Document Specialist to join our team in INDIANAPOLIS, Indiana. The role involves managing various administrative tasks, including work permit listings, database management, and project tracking. As an integral part of our team, you will interact with guests, assist with events, and handle office equipment for various tasks.Responsibilities: Efficiently complete work permit listings, ensuring all details are accurate. Utilize Microsoft Excel to create and manage spreadsheets for tracking various projects. Operate office equipment like copy machines and scanners to upload e-files as needed. Utilize strong organizational skills for inventory management and filing tasks. Interact with guests professionally, ensuring all their needs are met. Assist in catering tasks for events, ensuring all arrangements are made in a timely manner. File hard copies of important documents, ensuring they are stored securely and can be easily retrieved. Carry out tasks that involve bending and lifting such as filing away documents. Assist in a one-time file purge project to send files to storage. Utilize Microsoft Office and Word to create labels and other necessary documents.Requirements Proficiency in MS Word and Microsoft Excel is mandatory Experience in managing Computer Databases and Database Management is required Familiarity with Catering tasks is a plus Excellent communication and interpersonal skills Proven experience as an Executive Assistant or similar role Excellent organizational and multitasking abilities Ability to work independently and respond to queries promptly Strong problem-solving skills and the ability to make decisions under pressure High level of discretion and confidentiality Ability to handle sensitive information with the highest degree of integrity and confidentiality Familiarity with basic research methods and reporting techniques Outstanding organizational and time management skills Excellent multitasking skills with the ability to prioritize tasks Ability to work effectively with minimal supervision.
