Part Time - Stonegate Meeting House Facility & Grounds Business Manager

Facility Maintenance:Maintenance  Management: Track and schedule maintenance activities performed by third-party vendors, including:Fitness Center MaintenanceEnsure equipment is working orderSchedule regular maintenance appointmentsEnsure room is kept cleanReport any issues to Association ManagerMechanical Systems MaintenanceSchedule maintenance appointmentsReport any issues to Association ManagerCleaning ServicesEnsure cleaning done appropriatelyReport cleaning days outside of scheduled days of the vendorReport any issues to Association ManagerPool MaintenanceEnsure interior lobby/hallway door is locked during pool season and not propped open to keep wet feet off gym floorEnsure lifeguards keep kitchen/fridge cleanMonitor lifeguards’ tasks (e.g., taking out and returning trash cans on trash days)Ensure pool area is cleanReport any issues to Association ManagerTrash CollectionContact Priority Waste with any issues related to community trash. Owners have to contact for personal issues.Grounds Maintenance:Grounds OversightConduct regular inspectionsDrive the neighborhood three times per week to identify issues like dead trees or fallen limbs.Check daily for fountains being off and report issues promptlyReport above to Grounds Super and Association ManagerCollaborate with the Grounds Superintendent to:Ensure landscape and grounds vendors meet performance and quality expectationsMonitor the upkeep of landscaping, monuments, trees, shrubs, flower beds, and related infrastructureReport vendor performance to Grounds Superintendent and Association Manager, including deficiencies and recommendations for changesDevelop and implement an annual street tree maintenance and replacement planIdentify and proposeCommon Area Enhancements – Submit recommendations for improvements, such as new planting beds, shrubs, or treesDevelopment or Redevelopment Projects – Propose larger-scale projects like landscaping unmaintained areas, substantial replacements, or reimagining spaces. Coordinate bidding and oversight upon Board approvalProvide monthly for the board meeting via meetings or written reports, highlighting any deficiencies, issues, or concerns requiring attentionMeeting House:Event Management:Oversee the booking of meeting rooms and event spacesSupport and organize community events, including logistical coordinationAccess Control:Ensure the security of the facility through effective access control measuresMaintain and organize the Stonegate Access Control Database via established processesAdditional Responsibilities: (as time allows)Organize and maintain maps and other key facility documentationOversee basement organization and clean-out projects.Expertise Sought:Facility & Grounds Maintenance: Proven experience in managing facilities and ground maintenance needsVendor Coordination: Ability to work effectively with third-party vendors and contractorsEvent Organization: Experience in planning, organizing, and supporting eventsSecurity Management: Capability to maintain a secure facility and manage access control systemsDatabase Management: Proficiency in maintaining and organizing access control databases
