We are a growing property management team dedicated to providing top-notch services to our clients and residents. We are looking to add 1-2 dynamic and driven individuals to join us. These roles offer the opportunity to manage key operational aspects of property management, either as one combined role or split into two distinct positions depending on the candidate's skills and expertise. The work is 90% remote, so must feel comfortable learning the technology. Good people skills are a MUST.
Role 1: Portfolio Manager
You will be responsible for resident relations, tenant communication, legal notices, and lease management. You will work together with our Leasing Coordinator (who works in the field and does the showings).
Key Responsibilities:
-Resident & Tenant Outreach:
-Serve as the primary point of contact for tenants and residents.
-Respond promptly to tenant inquiries, complaints, and requests.
-Coordinate with residents on move-ins, move-outs, and renewals.
-Lease Management:
-Prepare, review, and manage all lease documents.
-Track lease expirations and send renewal offers to tenants.
-Ensure timely execution of leases and renewals.
-Late Notices, Legal Notices, & Rent Collection:
-Monitor and follow up on delinquent rent payments.
-Issue late notices and work with tenants to address payment issues.
-Initiate and distribute legal notices if necessary, such as notices to vacate and eviction.
-Coordinate evictions and other legal processes when necessary.
-Communication:
-Regularly update property owners with issues concerning tenants, if necessary, and he proposed action.
-Serve as the main liaison between property owners and tenants.
-Reporting:
-Prepare and deliver daily and weekly reports on the status of tenants moving in or out and rent collection.
Skills Required:
-Strong communication and interpersonal skills. Must have soft skills, compassion, and empathy when working with tenants. We pride ourselves on working with tenants to provide a safe and comfortable living environment. In turn, they work well with us.
-Some real estate experience a plus, but not mandatory.
-Must feel comfortable working with technology software. Training will be provided.
-Ability to multitask and manage a high volume of inquiries and tasks efficiently.
Role 2: Maintenance Coordinator
You will be responsible for managing all maintenance-related issues across the property portfolio. This role requires excellent organizational skills to ensure that all repairs and preventive maintenance tasks are addressed in a timely manner.
Key Responsibilities:
-Work Order Management:
-Receive and process maintenance requests from tenants. Timely follow up is imperative.
-Assign work orders to the appropriate vendors or internal staff. Follow up with vendors to ensure the work is completed correctly and on time.
-Track progress and ensure timely completion of all work orders. Follow up with tenants afterwards to ensure their satisfaction.
-Update property owners at each stage of the work to reassure their satisfaction.
-Vendor & Contractor Management:
-Source and vet new contractors for maintenance work.
-Build relationships with reliable vendors for plumbing, electrical, HVAC, and general repairs.
-Negotiate contracts and pricing with vendors and ensure high-quality work.
-Preventive Maintenance:
-Develop and maintain a preventive maintenance schedule for all properties.
-Emergency Repairs:
-Respond to emergency maintenance issues, coordinating rapid repairs.
-Maintain a network of on-call vendors for after-hours emergencies.
-Inventory & Supplies Management:
-Keep track of maintenance supplies, tools, and equipment.
-Ensure the proper stock of essential items, like light bulbs, filters, and cleaning supplies.
Skills Required:
-Strong organizational and time-management abilities.
-Familiarity with property maintenance and repair procedures a plus.
-Ability to handle emergency situations with calmness and professionalism.
