For over 15 years, Apt Tutoring, Test Prep & College Counseling has been dedicated to guiding middle and high school students to academic success and transition to college. We specialize in test preparation for private school and college admissions and subject-specific tutoring.

We’re looking for an enthusiastic, business and customer-service-oriented team member to fill the role of Client Success Coordinator. The ideal candidate will be responsible for managing day-to-day correspondence, scheduling appointments, and interacting with clients.

The ideal candidate will have excellent written and verbal English communication skills, be customer-centric, and be capable of managing various tasks. You must also be willing to go the extra mile for customers and team members to ensure all tasks and projects are completed on time. Position: Client Success Coordinator

Hours: Monday thru Thursday, 2:30 PM - 8:30 PM

Location: 16 North Street, Hingham, MA

Hourly Rate: $25

The initial Roles & Responsibilities of the Client Success Coordinator Include:

Greeting tutors and clients: Ensure a cheerful and welcoming environment.

Scheduling: Pair students with appropriate tutors and establish weekly schedules.

Onboarding: Set up students on our tutor note-taking system and ensure smooth integration.

Customer Service: Handle last-minute cancellations and rescheduling with professionalism.

Communication: Act as a liaison between tutors and parents to address concerns or updates.

Administrative Tasks: Manage billing and handle technical inquiries from clients.

Office Management: Maintain office supplies and ensure a well-organized workspace.

Follow-Up: Reach out to families to gather feedback and ensure satisfaction.

Daily Coordination: Update and maintain a to-do list for daily phone calls with the owner to streamline operations.

The ideal candidate will possess some of the following skill sets and related experience:

A bachelor’s degree strongly preferred

Strong organizational skills and attention to detail.

Excellent communication and interpersonal skills in person, in writing, and on the phone.

Strong writing skills.

Ability to multitask and prioritize in a fast-paced environment.

Capable of learning new tech/apps quickly and effectively (e.g., MindBody, Google Docs).

Previous experience in customer service or administration is a plus.

Experience drafting, proofreading, and editing professional correspondence.

Experience collaborating with team members and excellent relationship-building skills.

Excellent problem-solving skills, willing to collaborate with others to find the best solutions.

Ability to set goals and manage daily tasks to meet deadlines.
