The Department of Conservation and Recreation seeks applicants for the position Seasonal Office Support Specialist I (OSSI). The incumbent will provide administrative support to the Division of Conservation and Resource Stewardship's Deputy Commissioner and business management staff as well as the Office of Cultural Resources, Office of Natural Resources, Office of Climate Resilience, Research Office, and GIS Office. This position will be primarily based out of the State Transportation Building at 10 Park Plaza. General Duties include: Liaise with inter and intra-agency administrative and HR professionals to support Program and Bureau needs. Respond to inquiries and provide information to internal and external contacts. Assist with the procurement of goods and services and payment of Program and Bureau expenditures. Responsible for the organization and upkeep of detailed filing systems/file rooms. Responsible for screening, answering, and following up on phone calls from internal and external parties. Maintain contact with agency staff, external agency representatives and the general public. Spreadsheet development, payroll information and data population/tracking and facilitation. Ensure office activities are operational and in compliance with standards or guidelines. Schedule and attend meetings; maintain electronic meeting and event calendars. Use of computer software or databases to prepare reports and compile data, conducting research as needed. Use of office equipment; printers, scanners, fax machines. Assist with coordinating unit or department programs and activities. Other duties as assigned. Preferred Qualifications: Excellent interpersonal skills. Ability to work independently and part of a team. Ability to communicate effectively in written and verbal expression. Proficiency with Microsoft Office Suite, Outlook, MS Teams, and SharePoint. Knowledge of the laws, rules, regulations, policies, procedures, specifications, standards, and guidelines governing assigned agency or unit activities. Familiarity with MMARS, COMMBUYS, HR/CMS, and MassCareers. First consideration will be given to those applicants that apply within the first 14 days. Office Support Specialist I: Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below: Substitutions: I. An Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for the required experience. II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed. Educational substitutions will only be permitted for a maximum of two years of the required experience.
