Administrative Clerk

Administration/Clerk Position

Qualification:

High School Diploma or equivalent, preferably with associate's degree

Previous experience in an administrative role is preferred

Strong organizational skills with attention to detail

Excellent communication skills, both written and verbal

Ability to multitask and prioritize tasks effectively

Proficiency in computer applications including MS Office Suite

Knowledge of QuickBooks application

Perform general clerical duties including photocopying, faxing, mailing, and filing

Answer and direct phone calls in a polite and professional manner

Assist with scheduling appointments and maintaining calendars

Provide excellent customer service to clients and visitors

Essential Functions:

Assist Executive Director and SCTV Board of Directors, works as BOD Clerk

Confidentially handles all payroll functions such as keeping accurate employee information up to date, as well as tracking hours, vacations, paid time off and employee time sheets

Keeps track of bank accounts and pays all day-to-day bills accordingly & under the direction of the Executive Director

Perform technical and responsible office administrative duties, keep track of office supplies and order, when necessary, open & sort mail daily

Provide care & custody of the records, books and documents of the SCTV Board

Ensure that all activities conform to Town guidelines

Ensure confidentiality relating to all functions of the position

Comply with all municipal policies as listed in the SCTV by-laws

Knowledge or interest in learning camera equipment

Will help on filming meetings, special events when needed

General Responsibilities:

Notify BOD of upcoming meetings, activities and all events that involve the board members

Record and prepare minutes at meetings, including the essential content of the discussions, motions, and votes.

Post Agenda, as well as approved minutes and meeting information with the Town Clerk

Attend all meetings of the SCTV Board and keep accurate records of proceedings

The Clerk shall issue notices of Directors' and Membership meetings as set forth in the SCTV By-Laws, shall attend and keep the minutes of the same in suitable minute books, shall attest the signing and sealing by the President and/or Treasurer of all instruments requiring signature and/or the corporate seal, shall maintain a record of the Corporations membership, shall give, or cause to be given, notice of all meetings of the Corporation as required by the By-Laws, and shall do such other things as may be required by law, and shall perform such other duties as are usually incidental to his or her office or as may be required by the Directors.

In the event there is no Clerk, or he or she is absent, the Board of Directors may designate an Assistant Clerk to perform the duties of the Clerk until such time as the Clerk can resume the duties.
