Job Description: Office Manager
Busy architectural design firm in Peabody is seeking an experienced office administration professional for part-time hours. DMS is conveniently located close to 128/95/1 with free parking and numerous nearby amenities. This position supports an office of 10 people with busy schedules.
The ideal candidate has excellent multi-tasking and organizational skills. Must be able to work in a fast-paced environment with the ability to change directions throughout the day as needed. Must be able to prioritize multiple requests and deadlines.
Responsibilities include:
General administrative support
Ordering and organizing supplies, managing office supply vendors, and ensuring office is clean and presentable at all times
Meet and greet visitors, process incoming and outgoing mail; and answer and screen calls
Scheduling meetings and heavy calendar management
Scheduling lunch and learns with vendors
Ordering refreshments for meetings and events
Assist with marketing tasks
Bank deposits and general offsite errands for post office, supplies, etc.
Other related duties:
Research projects as needed
Updates of furniture and IT inventories
Assist project managers with project administrative tasks
Assist Controller with accounting entries in BQE CORE accounting system
Requirements:
5+ years of experience working in a busy office environment
10+ years of experience with Microsoft Office (Outlook, Word, Excel, PowerPoint)
Must be able to demonstrate expert knowledge of working in MS Office calendaring.
Strong knowledge of standard office procedures
Outstanding communication skills, written and verbal
Experience communicating directly with clients and vendors
Architectural/construction industry experience is a plus
