Senior Administrative Assistant

Our client, a university located in the metro Boston area, is seeking a Senior Administrative Assistant to join their team on a temporary to permanent basis. The schedule for this role is Monday through Friday 8am to 4:30pm or 8:30am to 5pm, and it is compensating up to $30 an hour, depending on experience. Qualified and interested candidates are encouraged to apply today for immediate consideration.Responsibilities:Completes all purchases on behalf of the faculty and according to the university's policies and procedures, including computers, equipment, memberships, subscriptions, books, supplies, etc.Completes all requests for reimbursements on behalf of the faculty according to the policies and procedures. Maintains complex calendars; as necessary, may include collaboration with other administrative assistants. Schedules diverse and complex appointments, meetings, and travel arrangements. Prepares complex itineraries for multiple constituents. Organizes and assists in general preparation for external agency and sponsor visits.Deals with confidential issues (e.g., payroll or salary information, promotion and tenure) using discretion and judgment.Attends high-level meetings; records, interprets, drafts, and distributes (pending approval) minutes from said meetings.Serves as liaison between faculty and other internal and external groups.Plans and coordinates a wide range of high-profile events that includes outside speakers and consultants.Uses multiple Web software programs to develop, design, and update multiple Web pages.Qualifications: High School education or equivalent. Bachelor's degree preferred. A minimum of five years' administrative, office, or related experience.Advanced computer software skills required. Able to identify and learn new programs and software skills as necessary.Easily negotiates Internet; performs more complex searches.Excellent interpersonal and communication skills in order to represent the work area and the larger university community.Requires thorough understanding of own work and how it impacts operations across the areas as well as outside own work unit.Ability to recognize needs of the unit and how it impacts other areas of the university.Beacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
