The successful candidate will be highly collaborative and will work closely with the Executive Assistant team, and cross-functionally with internal stakeholders and the Senior Leadership team. â¢ Manages administrative document preparation, file maintenance and storage with accuracy.
â¢ Works collaboratively with Executive Leadership Team and Executive Assistants
â¢ Demonstrates proficiency in preparing meeting materials such as Power Point presentations, meeting binders, agendas, minutes, making reservations, planning dietary needs, scheduling travel arrangements, communicating essential information to participants, etc.
â¢ Acts as confidential assistant, preserving the confidentiality of information related to the organization and staff. Assists with confidential and/or sensitive matters; provides explanation and support where needed.
â¢ Manages and maintains calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex meetings and travel.
â¢ Prepares responses to correspondence containing routine inquiries
â¢ Demonstrates poise and flexibility in a fast paced and dynamic environment.
â¢ Able to prioritize and manage multiple projects simultaneously, and follows through on issues in a timely manner
â¢ Knowledge and competence with personal computer to include multiple data bases, Excel, Power Point, and Microsoft Office
â¢ Schedules all Audit Committee calls
â¢ Minimum of 5 years of experience in an administrative support role is required
â¢ Administrative experience in a biotechnology or pharmaceutical environment is preferred
â¢ Extensive experience utilizing a variety of software packages, especially Outlook and Microsoft Office 365, is required
