Job Description

SENIOR ADMINISTRATIVE ASSISTANT, Chemistry, to assist the academic administrator with the administration of the graduate program and graduate admissions process. Will assist with all aspects of the graduate student admissions process, including compiling and tracking applications, researching and updating the application process to reflect best practices/requirements, responding to inquiries, and managing communications with applicants; serving as a resource on graduate program policies/procedures, graduate appointments, fellowships, etc.; assisting incoming students with all processes necessary to becoming a part of the graduate student community; disseminating information about deadlines, events, graduation requirements, etc.; overseeing the administrative aspects of fellowship and award nominations; database/file maintenance; website maintenance; maintaining account information for graduate student appointments; assisting with events; and performing a variety of other duties. Job RequirementsREQUIRED: high school diploma or its equivalent; five years of professional work experience, preferably in an academic setting; English grammar and composition proficiency; excellent organizational skills; ability to handle multiple tasks, set priorities, and work in a demanding environment; attention to detail experience with Word, Excel, PowerPoint, QuickBase, Adobe Acrobat, and maintaining and updating websites in WordPress; discretion and tact; and the ability to interact with a variety of people, including faculty, students, staff, and potential students; and an interest in training students. PREFERRED: bachelor’s degree; MIT experience, particularly relating to undergraduate and graduate student processes; and experience with Slate, Graduate Student Portal (GAP), and Grade 20.
