Invoice Management (Exterior Building Sign Invoices):
Review and process approximately 75+ invoices valued at $4M.
Carefully review invoice lines for accurate project coding by cross-referencing multiple departmental project schedules.
Identify and resolve coding and pricing discrepancies (e.g., incorrect project types, duplicate invoices) in collaboration with vendors and internal teams.
Maintain and update payment and tracking logs.
Accounting and Compliance:
Use independent discretion to code payments into Oracle accounts and correct any errors.
Leverage departmental reference materials (e.g., project reports, accounting sources) and institutional knowledge to make coding decisions.
Raise potential issues to management and recommend solutions based on past experience to enhance processes.
Maintain logs tracking project costs and spending by invoice.
Year-End Accounting:
Assist in processing year-end accruals, managing more complex accruals due to larger dollar amounts and required validations.
Process approximately 750 non-contractual and special project invoices.
Reports To:Manager of Real Estate Financial Planning & Analysis. Supports over 20 independent contractors/suppliers and works closely with the immediate team.Required Qualifications:
Extreme attention to detail is essential.
Knowledge of GAAP (Generally Accepted Accounting Principles).
Proficiency with Excel and other Microsoft Office products.
Familiarity with Oracle (required).
Strong verbal and written communication skills; must be able to interact effectively with various contractors.
Ability to work independently with minimal supervision.
Self-motivated, team-oriented, and able to identify and resolve issues quickly.
Preferred Qualifications:
Bachelor's degree in Business, Accounting, Finance, or a related field (preferred). Candidates with 8+ years of relevant experience will be considered in lieu of a degree.
Experience with Lucernex software is a plus but not required.
Familiarity with DocuSign is helpful.
Additional Information:
Oracle experience is highly valued, though not required.
This role involves two interview rounds.
