Experienced part-time administrative assistant needed for psychologist

Experienced part-time administrative assistant needed for busy psychotherapy practice in Northampton. Familiarity with Excel, Quickbooks, LinkedIn posting and creating online events desired. Minimum 2 year commitment. 10-15 hours/per week with some daytime hours required. Mostly remote position with some in-office tasks. If you are an adaptive problem solver with proven experience of calendar, email, social media, computer programming and finance management, this is the partnership for you!

Responsibilities include:

Manage emails, calendars, publications and events.

Wordpress execution and management

Virtual event preparation and coordination

Execute substantive projects and other duties as assigned the team.

Use Quickbooks for invoicing and billing.

Fulfill various clerical duties including task executing contracts, filing and data entry.

Post zoom recordings to Vimeo, edit if needed and share with class participants.

Manage social media: 1) Invite people who mistakenly like my personal Facebook to follow my professional Facebook account; 2) invite people to Linked In and respond to requests and messages).

Create, update, and maintain database and spreadsheet files.

Work closely in cooperation with Marketing Manager and Website Designer

Be available for bi-weekly phone conference calls/meetings with the team

Be “on call” as a support resource during events/projects for any last-minute needs or emergencies

Qualifications:

Bachelor of Arts degree

5+ years of administrative support experience preferred with strong computer/internet skills such as Word, Excel, PowerPoint, Google, Wordpress; experience with Adobe suite products. (Canva is acceptable if truly proficient)

Proficient organizational skills and ability to prioritize

Strong verbal and written communication skills

High level of attention to detail

Maintain confidentiality of all organizational, personnel and research matters
