General PurposeUnder immediate supervisor, the Administrative Assistant provides coordination and support the operations of the team. This position includes a high volume of data entry. The job interfaces frequently with peers and managers and occasionally with customers. Ensure all tasks are in compliance with applicable Federal, State, and Local Department of Transportation regulations as well as compliant with all policies, practices and procedures.Primary Responsibilities (Essential Functions):

Provide coordination and support for daily operations of facility including data management

Track waste shipments with disposal facilities

Manage and distribute information in an administrative office environment

Manage the office phone. Answer and reroute all incoming phone calls

Manage life cycle of printed manifests, including Land Disposal Restrictions (LDRs) associated paperwork and labels - printing, CC Scanning, mailing to customers and mailing to states

Sign manifests that end at the facility and create billing packets (based on location permitting and need)

Enter order updates which add to any required Transportation, Supplies, or Demurrage charges once the waste and documentation arrive at the facility

Perform office administrative tasks - maintain electronic and paper files, rosters, contact lists; accurately update files, reports, spreadsheets and documentation; sort and distribute mail

Perform other reasonably related tasks as assigned by management.

Pay for this opening starts at $18 an hour. Basic Required Qualifications:

High school diploma or GED

Experience working in an administrative support role

Working knowledge of Microsoft Office Products: Word, Excel, and Outlook. Ability to create simple spreadsheets with formula.

Ability to organize and prioritize tasks to meet deadlines

Fluency in English, both written and verbal with the ability to create clear and concise memos and letters

Preferred Qualifications:

Associates degree

2+ years of experience administrative working in an office setting 

Proficiency using Windows based software platforms

Knowledge of RCRA, DOT and Hazmat regulations

  • Summary About the Position: Serves as the administrative assistant to the Construction Branch Chief concerning substantive administrative programs to include Facilities Equipment Maintenance (FEM), budget tracking and execution, Resident Management System (RMS), supply management, personnel administration, the business portion of contract administration, records management, office automation, etc. Responsibilities Serves as the primary project site employee responsible for the review and application of administrative guidelines necessary for Construction operations. Responsible for project timekeeping in accordance with regulatory guides and use of Corps of Engineers Financial Management System (CEFMS). Provides preventative and routine Maintenance requirements for newly completed construction equipment and systems for inclusion in the Facilities Equipment Maintenance (FEM) control program. Gathers background data in preparation of budget submissions; provides estimates on certain areas such as supplies, utilities, cost of recurring contracts, and Automatic Data Processing (ADP) needs. Responsible to ensure that Contract Files required by Contracting Officer for both Administrative Contracting Officer (ACO) and COR documentation are properly created immediately after award. Continually analyzes summaries and printouts to check, verify, and correct data as necessary.
