Working/Functional Title Assistant Head of AcquisitionsPosition Summary Reporting to the Head of Acquisitions, the Assistant Head of Acquisitions assists in oversight of day-to-day workflows related to the timely order, receipt, and payment of print and electronic materials including supervision of staff. The incumbent serves as fiscal officer delegate for the materials budget account. Serves on the Technical Services Management team with other Technical Services team managers. Extended leave time may not be approved during the weeks leading up to the fiscal year end (June 30) and fiscal year end reporting deadline (approximately one week after fiscal year end).Characteristics Duties and Responsibilities
In conjunction with the Head of Acquisitions, coordinates day-to-day functions of the Acquisitions Unit responsible for orders, receipts, payments, report generation, and reconciliation of an approximately $25 million budget in the FOLIO system.
Serves as the Fiscal Officer delegate for the Libraries materials budget including approving payments of invoices and ensuring compliance under the Office of Foreign Assets Control (OFAC) for purchases from foreign vendors.
Assists with fiscal close and responsible for completing requested reports from the Controller’s Office immediately after year end.
In conjunction with the Head of Acquisitions, maintains and monitors the materials budget, with a focus on one-time orders.
Purchases materials via a University Purchasing Card. Maintains and reconciles the account.
Hires, evaluates, and directs the support staff for the unit.
Directly supervises and evaluates 6-8 support staff members.
Corresponds with library materials vendors to clarify orders, invoices, determine material availability, and obtain materials.
Assists in providing technical and professional expertise in Acquisitions and business procedure to the Collections Strategist and library selectors for new/non-standard order or payment requirements.
Creates and revises unit workflows, updating them to the Technical Services procedures Confluence webpage.
Provides back-up for day-to-day acquisition workflows during peak times.
Meets with other Technical Services managers and represents MSU in the BTAA Acquisitions Group.

May require recent experience in an academic library and/or the ability to read and translate one or more foreign languages.Desired Qualifications
Experience with library acquisitions.
Supervisory experience, including hiring, training, evaluating and coaching staff.
Experience with budgets, purchasing, and reconciliation of accounts.
Experience working with outside vendors.
Experience creating and revising workflows.
Experience with report generation and analysis.
The ability to read and translate one or more foreign languages.
Ability to collaborate well with others and help to foster a welcoming environment.
Ability to work with high level of detail and able to recognize discrepancies.
