We are seeking a highly organized and flexible Mobile Administrative/Office Associate to support multiple client sites in the Grand Rapids area. The successful candidate will oversee the management of meeting/conference rooms, handle front desk operations, legal records, and perform a variety of administrative and clerical tasks. Travel between client locations in the Grand Rapids region is required.
Core Duties & Responsibilities:
Legal Records Management:
Organize, maintain, and ensure the secure handling of legal records and files, ensuring compliance with confidentiality and data protection standards.
Concierge & Reception Duties:
Greet visitors, manage front desk operations, and ensure professional, welcoming interactions.
Hospitality:
Coordinate hospitality services for meetings and events as required.
Mailroom & Packages:
Manage incoming and outgoing mail, including packages and courier services.
Print Production:
Handle printing tasks and provide reprographics services across client sites.
Required Skills & Qualifications:
Software Proficiency: Strong experience with Microsoft Outlook, Word, Excel, and Adobe Acrobat.
Communication: Ability to effectively communicate with various departments and senior leadership to produce accurate and timely results.
Dependability & Flexibility: Must be dependable with the ability to adapt as assignments and priorities change frequently.
Attention to Detail: Strong focus on accuracy and detail-oriented work, particularly in managing legal documents and confidential files.
Client-First Mentality: Prioritize customer needs and ensure excellent service delivery across multiple locations.

Additional Requirements:
Travel Flexibility: Must be able to travel between Kalamazoo and Grand Rapids occasionally.
Physical Requirements: Ability to stand for long periods, lift up to 50 lbs, and perform other physical tasks as needed.
