What you'll do as an Office Coordinator
Prepares various reports as requested
Reconciles and submits assigned work group/location credit card statements;
Orders office supplies and materials, following the Purchase Order process, for assigned location;
Processes and records billing information in accordance with Company procedure;
Electronically reviews and updates weekly production reports;
Facilitates new employee orientation by preparing paperwork packets, processing required documentation, and submitting completed paperwork and documentation in accordance with Company procedure as required;
Performs tasks related to other department functions (i.e. Accounting, Human Resources, Safety, etc) as required including sending requested documentation;
Attains, maintains and follows-up the close out of the assigned work group(s) Purchase Orders;
Diligently follows all SOX procedures for signing, dating, recording and saving data entry records for audit purposes;
Is cognisant of and adheres to specified deadlines and prioritizes work to meet them;
Other duties as assigned.
Qualifications
High school diploma or general education degree (GED).
Ability to read and understand written and verbal instructions, correspondence and memos.
Effective and respectful written and verbal communication.
Problem solver and logical thinker with the ability to apply company policies and procedures to situations to ensure a positive experience of both internal and external company stakeholders.
Ability to control essential job functions in a fast paced environment that interacts with both internal and external work crews and customers.
Team oriented, keeping the organizational needs at the forefront.
Basic computer operating and data entry skills;
Experience with basic computer software systems including but not limited to Database, Internet, Spreadsheet, Word Processing, e-mail and PDF creation; Google application experience is strongly preferred;
Understanding and use of general arithmetic such as addition, subtraction, multiplication, division, units of measure and weight using whole numbers, fractions and decimals.
Ability to operate a multi-line phone system and office equipment such as computers, fax and copy machines
Proficient data entry skills, including 10 key
Ability to work flexible hours and overtime as needed.
