Description We are offering a short term contract employment opportunity for an Administrative Assistant in the Higher Education industry, based in Minneapolis, Minnesota, 55402-3389, United States. The role will entail a variety of administrative tasks, including processing customer applications, maintaining accurate customer records and resolving customer inquiries. Responsibilities: Oversee the maintenance of complex calendars, scheduling appointments and other commitments for multiple VP level leaders Facilitate a variety of meetings through duties ranging from agenda and materials coordination to managing on and offsite participant logistics Manage web-based tools to support faculty data, including transcript, CVs, pictures, and other info Arrange travel for team members as needed and process department invoices, supply orders and team member expense reports Compose internal and external correspondence where necessary to complete tasks with professional and timely responses to appropriate parties Collaborate with other assistants in the coordination of schedules, materials, and other work, handling personal and confidential matters discreetly Participate in university committees as assigned by supervisor Utilize a high degree of proficiency with technological office products including but not limited to: Microsoft Office Suite (Word, Excel, PowerPoint, Project, Visio, and Outlook), SharePoint, and Zoom Exhibit discretion when handling sensitive and confidential matters Work independently as well as part of a team, demonstrating the ability to be self-directed and motivated Show promptness related to project deadlines as well as in-office work hours, demonstrating strong process orientation with outstanding problem-solving skills. Requirements Minimum of 3 years of experience in an administrative role within the higher education industry. Proficient in basic office skills such as filing, typing, and managing correspondence. Experience with scheduling appointments and managing calendars for senior executives. Capable of organizing and managing executive meetings. Proficient in using Zoom for virtual meetings and webinars. Strong interpersonal and communication skills. Ability to multitask and prioritize tasks in a fast-paced environment. Excellent problem-solving skills and attention to detail. Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. Ability to handle confidential information with discretion. Bachelor’s degree or equivalent experience in a relevant field is preferred. Proactive and able to work independently with minimal supervision. Excellent time management skills and ability to meet deadlines. Strong written and verbal communication skills.
