Description We are offering a long term contract employment opportunity for an Administrative Assistant in the Higher Education industry based in Minneapolis, Minnesota. The role will involve a blend of in-office and remote work, providing support to multiple VP level leaders and managing projects within the Academic and Faculty Affairs department. Responsibilities: Manage complex schedules, arrange appointments, and oversee both physical and electronic workspace organization. Coordinate and support various meetings, including managing logistics for on and offsite participants, preparing agendas and materials, and recording minutes. Handle web-based tools to maintain faculty data, such as transcripts, CVs, photographs, and other information. Arrange travel logistics for team members as required, ensuring optimal arrangements based on schedule and cost considerations. Process department invoices, place supply orders, and manage team member expense reports. Draft internal and external correspondence as necessary, ensuring detail oriented and timely responses. Collaborate with other assistants in coordinating schedules, materials, and other tasks. Handle personal and confidential matters with discretion. Participate in university committees as assigned by supervisor. Use technological office products proficiently, including Microsoft Office Suite (Word, Excel, PowerPoint, Project, Visio, and Outlook), SharePoint, and Zoom. Communicate effectively in both oral and written formats with employees at all levels of the organization. Manage multiple projects for several constituents, successfully determining priorities for various tasks with sound judgment, initiative, and follow-through. Requirements Minimum of 3 years experience in an administrative role, preferably in a higher education setting Proficient in basic office skills such as filing, typing, and data entry Demonstrated ability in scheduling appointments and managing calendars Experience in organizing and coordinating executive meetings Proficiency in using Zoom for scheduling and managing virtual meetings Excellent written and verbal communication skills Ability to work independently and as part of a team Strong organizational skills with attention to detail Ability to multitask and prioritize tasks effectively Knowledge of office procedures and protocols in a higher education environment Proficiency in Microsoft Office suite, including Word, Excel, and PowerPoint Bachelor's degree or equivalent experience preferred.
