Executive Assistant
Asset Accumulation Corporation
Function as office manager and property manager
Executive Assistant Duties:
o Assist president in calendar/scheduling/occasionally schedule travel
o Run errands as needed for president
o Manage all communication; respond to phone calls/emails/texts and forward to president as needed
o Keep president up to date on properties and relay urgent information
Office Duties:
o Check and respond to emails
o Check voicemails and respond
o Check mailbox and distribute
o File/organize any paperwork
o Manage invoices for all properties and submit to accountant
o Manage expenses
o Manage and maintain contact list for all properties
o Keep office clean (sweep/mop/take out trash/empty shredder/refill fridge)
o Schedule water deliveries with Culligan
o Other general office duties
Property Management:
o Walk through interior/exterior of office building daily and address concerns
o Act as point of contact for all building issues; problem solve and determine best solution for any issue with president
o Keep insurance policies for all properties up to date
o Keep tax information for all properties up to date
o Manage contact information for all properties and ensure up to date
o When a new building is purchased; make a new binder and put it in the cupboards behind your desk, create a property information cover sheet on Excel for the front of the binder, make new Correspondence, Insurance and Property Tax folders for Suzanne.
o Create key fobs/keys for tenants as needed
o Assist tenants with any issues in their spaces/properties
o Receive rent checks, track and deposit in bank
o Deposit all checks from accountant
o Establish relationships with contractors and tenants
