OFFICE MANAGER JOB DESCRIPTION
Job Summary
This position supports the Peace Lutheran Church congregation, a member of the Southwest Minnesota Synod of the Evangelical Lutheran Church of America (ELCA). Peace Lutheran Church was formed in 1993 and worships at its facility at 1000 Red River Avenue North in Cold Spring, Minnesota. This is a part time position working 26 - 30 hours per week.
While the Office Manager generally works independently, the individual will usually report to the Pastor for day-to-day direction. Additionally, the Office Manager supports the other Peace Lutheran staff and members of the Church Council and the church administrative boards.
The Office Manager’s specific duties are defined elsewhere. Generally, the individual is responsible for management of the church office operations throughout the work week.
Key Responsibilities
Receive and handle weekday visitors, phone calls, emails, etc.
Provide clerical support for the Pastor and staff, especially including preparation of worship materials
Provide internal and external communications—sending and receiving mail and email, publicizing church activities, providing public information in print form as well as via electronic means [Peace’s website and Facebook page, The SCOOP (weekly e-newsletter), etc.]. May help coordinate development of video recorded service.
Coordinate the facility schedule by maintaining calendar of events, both public and internal
Provide filing and recordkeeping, maintaining an archive of past church records
Act as Purchasing Agent, making necessary purchases (in coordination with the Financial Secretary and the Council Treasurer, who sign checks and oversee the annual budget)
Participate in weekly staff meetings and other meetings as directed
Skills & Qualifications
Ability to work collaboratively with the pastor, church staff and lay leaders
Demonstrate outstanding verbal & written communication skills
Ability to multitask and work in a fast-paced environment
Ability to receive and/or give constructive criticism
Effectively and efficiently manage time and tasks and meet time-sensitive deadlines
Demonstrate proficiency in Microsoft Office software, including Word, Excel, PowerPoint and Publisher
Maintain a professional manner on the phone and in person
Previous experience in an office setting is preferred
Digital technology communications skills helpful
