The Operations Assistant acts as the first point of contact for our families and scholars. They will lead the health office and support students when they feel unwell. They create an inclusive and welcoming environment for our parents and scholars. Their work enhances key operational functions of the job impacting both families and staff. This opportunity is ideal for someone who is energized by challenging work and is able to work collaboratively across lines of difference with an emphasis on cultural sensitivity and inclusiveness.CORE RESPONSIBILITIESEssential Functions:

Maintain scholars health records and documentation of health office visits.

Administer first aid to scholars and staff (training provided).

Follow protocols to control and mitigate bodily fluid (blood, vomit, etc.) to ensure the safety of staff and students.

In consultation with our nurse, administer prescribed medications.

Communicate with families regarding the health of their scholar as needed.

Answer phones, greet and direct visitors, take and relay messages; provide routine information to students, parents or guardians.

Provide a welcoming environment for our families and visitors.

Assist with parent and staff communication.

Maintain punctual and consistent attendance.

Perform a variety of clerical activities, including preparing routine correspondence, sorting and filing of records, documents, mail and other material.

Provide quality customer service for incoming and current families regarding the registration process and family engagement events.

Support the enrollment team's efforts by answering questions from and speaking with prospective families, and occasionally supporting enrollment special events.

Maintain student information systems to accurately reflect updated contact information for families.

Perform related duties as assigned.

SKILLS & REQUIREMENTS, DESIRED QUALIFICATIONSGeneral Requirements

Education required: High school diploma, 2 or 4 year degree is preferred

Desired Qualifications

Experience working in operations within a school environment

Experience working with children

Second language strongly preferred: Spanish

Knowledge & Skills

Outstanding attention to detail and willingness to get the job done

Excellent organizational, planning, and implementation skills

Ability to communicate and interact effectively with multiple stakeholders

Able to multi-task and work in a fast-paced entrepreneurial environment

Competency in MS Office and Google Suite

Excel and Google Sheets experience preferred

Contemporary office practices, preferably in a public sector or K-12 environment.

Attendance and enrollment policies and procedures. Record keeping, filing, electronic document filing, and retrieval.

Develop and maintain productive working relationships with school site staff, parents or guardians and District staff.

Proper telephone and e-mail etiquette.

Meet schedules and timelines.

Work collaboratively with others.
