Working in a discreet environment handling sensitive and personal information daily
Completing transactional duties with special attention to detail, being organized, and multi-tasking
Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
Handling and receiving incoming and outgoing correspondence
As an Administrative Assistant II, your day-to-day responsibilities will include:
Administrative assistants support the office's team lead and management with the daily operation of the operation
The AA (Administrative Assistant) will process normal inquiries and learn how to support unique or complex customer requests as received
Daily responsibilities will include working with internal sponsor personnel to ensure that shipments are properly manifested and labeled according to sponsor operating procedures
They will develop and submit electronic spreadsheets and manifests to track movement and delivery of material
The AA will receive or provide written and verbal customer inquiry replies
They will work as part of team to meet the office needs
This position is administrative in nature, but environment is industrial and supports domestic and overseas delivery and shipping demands
Once the AA learns the office standard operating procedures (SOPs ), they must be able to complete work with minimal guidance
They will serve as main point of contact for stakeholders and customers to conduct follow-up inquiries
Follow ups will occur within 24-48 hours and provide shipping partners with status updates
The AA must rapidly acquire delivery method proficiency across a variety of defined transportation schedules of other government Agencies (OGAs) nsed by customer
Depending on shipment material, the AA will be expected to be proficient in or able to research required packing and shipping requirements for a given shipment and seek clarification or approval from customer for any shipments that do not confirm to normal requirements
As primary POC (Point of Contact), the AA will provide clients rapid response by email or telephone regarding material movement inquires
AA will continue to create and improve SOPs and capture high function checklists for developmental contractors as they learn processes and workflows
The AA must be detail oriented and able to identify and resolve discrepancies between delivery reports
They will actively seek to assist team members across the office to process urgent tasks or follow up on backlogs of requests as required
WHAT YOU'LL NEED TO SUCCEED:
The position requires an active Top Secret/SCI with Polygraph clearance
The position requires High School Diploma and two (2) years of relevant experience or equivalent combination of education and experience
Core hours between 6:30am-3:00pm
Proficient Word, Excel, Outlook, PowerPoint
The position is on customer site

This is not, however, a guarantee of compensation or salary.
