Foundation Therapy Services is a pediatric clinic offering speech-language and occupational therapy located in beautiful Bozeman, MT. As we continue to grow, we are expanding our team to support our new clinic, opening in April 2025. We are looking for a proactive, self-motivated front office staff member to join our dynamic multidisciplinary team of clinicians who work together to provide therapy services to pediatric and young adult populations.
Position Overview:
We are seeking a friendly, organized, and dependable individual to join our front office team. In this role, you will be responsible for ensuring smooth office operations, managing patient appointments, and providing exceptional service to our clients and visitors. Job Type:
Full-time or Part-time (32-40 hours per week)
Monday to Friday, between 8:00 AM and 5:00 PM
In-office position (no travel required)
Key Responsibilities:
Oversee general front office operations, ensuring smooth day-to-day functioning.
Greet visitors, answer phone calls, and provide exceptional customer service to clients.
Coordinate patient appointments and manage clinician schedules.
Communicate with referral sources (doctors, dentists, clinics) and insurance companies to coordinate patient care, benefits, and documentation.
Maintain office efficiency by organizing office operations and procedures, including preparing payroll, managing correspondence, and establishing filing systems.
Assist in onboarding new employees.
Help prepare for regular staff meetings and provide administrative support to the therapy team.
Required Qualifications:
High school diploma or GED (associate degree or higher preferred).
At least 1-2 years of experience as Front Office Staff or Administrative Assistant, with a focus on managing schedules and improving office processes.
Proficient in office software, including Microsoft Office Suite, email tools, spreadsheets, databases, and Electronic Medical Record (EMR) software.
Excellent computer skills and the ability to quickly learn new systems.
Organized, detail-oriented, and able to multitask.
Strong time management and communication skills, both written and verbal.
Ability to handle confidential information with professionalism and discretion.

Experience in developing and optimizing internal systems.
Creative problem-solving skills and a keen eye for areas of improvement.
Team-building experience and an engaging personality.
Strong positive outlook and the ability to maintain a friendly work environment.
