HARD ROCK ROAD BUILDING & UTILITIES, Inc. is seeking an experienced and motivated Administrative Assistant & Assistant Bookkeeper to join our team. HARD ROCK ROAD BUILDING is a busy and growing civil construction firm located in Helena, Montana. HARD ROCK’s business consists of civil infrastructure installation projects for local municipalities, public & private water and wastewater systems, subdivision construction and general building construction. This position will provide administrative support, be a friendly “front desk face” for the construction company, as well as, administrative support to tenants that lease adjoining office space. A successful candidate is highly organized, professional, self-motivated, and an energetic individual with excellent communication and inter-personal skills. Job duties include but are not limited to; assisting in the preparation of routine reports, review and entering data into excel spreadsheets, or accounting software, and submit and reconcile reports for credit cards, bulk fuel, payroll record keeping and tabulations. This is a fast paced, family oriented company with many benefits that can be offered by working for a small business. This includes the flexibility and availability to have a modified work schedule, and/or hours not less than 32 hours/week.

Must have high school diploma, minimum of 2 years of accounting and/or construction related business experience with proficient Microsoft Word, Excel, Outlook, and Publisher skills. Ability to program and input information into the company website, and keep digital media up to date is a bonus. Knowledge of accounting principles, bank reconciliations, financial reports, payroll reports and reporting and a working knowledge of Quickbooks software, or like accounting applications a plus. Familiarity with certified payroll procedures and processing, and worker’s compensation reporting beneficial. Position requires competent and well written communications, excellent phone skills, flexibility, ethical conduct, time management, and problem solving /analysis skills. Must have initiative, confidence and be customer/client focused. Must have strong organizational skills.

Job Type: Full-time

Expect 32+hrs/week

Pay: $18.00 - $25.00 per hour DOE

Duties

Provides exceptional customer service for main desk answering and directing phone calls, receiving and greeting visitors, assisting employees, answering inquiries;

Processes and manages all aspects of incoming and outgoing correspondence;

Composes letters, memos, and reports. Review work done by others to check for correct spelling and grammar, formatting and other editing changes;

Meet, greet and convey appropriate information to tenants, guests, clients, and employees;

Help maintain company website, and rental website and scheduling app;

Creates and maintains physical and digital filing systems including scanning, filing, and document management, according to records retention guidelines;

Creates and maintains databases and spreadsheets for projects, payroll, bulk fuel inventory, project submittals, documentation and filing;

2+ years using excel daily - must be proficient (more than a beginner) to be able to discern, create and use formulas, data sources, vlookup function, pivot tables, charts, macros, etc;

Proficiency in MS Office (daily use, proficient, easily capable to learn new functions);

Strong skills using adobe PDFs, editing and creating fillable documents;

Strong multi-tasking skills;

An ability to manage and prioritize multiple concurrent responsibilities;

A strong attention to detail;

Performs research and provides financial and statistical information to management;

Help with purchasing materials and supplies, and managing office needs & scheduling;

Performs other duties as assigned.

Qualifications

The knowledge, skills, and abilities are acquired through a combination of education and experience equivalent to a high school diploma and two years, or more, as an administrative secretary, or similar within a construction business office. Associates degree in accounting, business or office technology or equivalent preferred. Other combinations of education and experience will be considered. Public Notary for the State of Montana, and/or willingness to study, take exam and pass Notary training.

Special Requirements

Must have a valid driver’s license.

References will be checked

Background screening will be conducted prior to employment

Skills testing will be part of the interview process

Physical Demands

Duties are generally performed in an office setting where hazards and discomforts are controlled and modifiable. This position requires the ability to stand, bend at the waist, kneel, reach over the head, talk, hear, and see. Must be able to move or lift materials weighing up to 30 pounds. Position requires knowledge and use of typical office equipment including multi-line telephone, copier, and personal computer. Position requires regular contact with fellow employees, clients, tenants and guests.
