We are excited to announce we are hiring an Office Coordinator!

This position will be at the front desk at our office location. This staff member has the following tasks:

-Answer, respond to, and forward all phone calls coming into S.A.F.E. House administrative office in a friendly, sincere, and timely manner. Transfer caller to an employee’s voice mailbox or take written message when the individual is unavailable.

-Provide immediate crisis intervention and referrals to victim/survivors of domestic violence who call or walk into the office.

-Ensure excellent customer service by assisting all clients, visitors, and guests in a timely and professional manner.

-Serve as liaison between the administrative office, emergency shelter, and any satellite employee offices.

-Receive, sort and forward incoming mail. Send outgoing mail.

-Work with Office Manager to coordinate the collection and storage of in-kind donations. Collect donation receipts and record all donations in the designated database as well as any corresponding logs.

-Support the Office Manager with maintaining the donor database, which includes imputing data, running donor reports, creating donor thank you letters, and other related functions.

-Take notes and create minutes for meetings as requested by the Executive Director or other department Supervisors.

-Work with Office Manager and Volunteers to complete clerical duties, such as photocopying, faxing, filing, collating, ordering supplies, and data entry.

-Receive monetary donations from donors, as well as payments from individuals attending the court ordered Alternatives to Aggression program.

-Provide intake packets to new clients wanting to attend counseling or the alternatives to aggression program.

-Help keep the office location looking clean, tidy, and free of clutter.

The perfect candidate must have strong interpersonal and crisis intervention skills, as well as great phone etiquette and the ability to use Microsoft office. The candidate will learn how to use Donor Perfect software, accept donations, as well as payments from the Alternative to Aggression court ordered program. Therefore, good attention to detail, basic math, and computer skills are a must.

This individual is a "face" of the organization, often the first person a survivor, donor, or community partner meets face-to-face at S.A.F.E. House, so they must have a professional, positive and upbeat attitude at all times.

Bilingual English/Spanish is highly preferred for this position.

The typical schedule will be four 10-hour shifts, 8am to 6pm. One of the shifts must be on Fridays. The other days are flexible, to be determined with the Office Manager.
