We are looking for someone who will thrive in a fast-paced environment, is VERY client-focused, team oriented, and is able to execute in a way that encourages creativity and continuous improvement. Taking initiative is HEAVILY encouraged.
Prefer 4+ years’ experience in an executive assistant role and/or working directly in Financial Services.
Exceptional knowledge of various applications including: Mac-based, CRM management, Excel, PowerPoint, and the ability to learn industry-specific software to meet deadlines and manage multiple priorities in a fast paced environment
Responsibilities
As an Executive Assistant, you will provide executive administrative support, with primary responsibilities including managing heavy meeting scheduling, coordination and preparation of meeting materials, populating a high volume of paperwork, maintaining detailed client files, scanning documents, managing travel, phones, maintaining calendars and files, and other duties as assigned.
Handle all day-to-day responsibilities to support the Advisor.
This includes and is not limited to, scheduling and coordinating meetings, collecting meeting materials, managing ALL aspects of dinner/educational seminars in great detail, managing calendars, and other general administrative functions.
Provide materials, coordinate tech support, reserve meeting rooms.
Plan, manage and execute team meetings; secure meeting space, coordinate tech support, work with production team, order food/beverages, print and bind materials, and be onsite to ensure a successful meeting/event.
Anticipate executive’s needs to organize and streamline daily deliverables.
Management of expenses.
Prepare and review all documents for meetings, communicate with clients, as well as any department communication.
Work professionally with clients, think and work independently, be proactive, handle confidential information, and work effectively and efficiently.
Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.

Salary: $22.00 - $30.00 per hour
