Help Wanted OFFICE ADMINISTRATOR Meredith, New Hampshire

HydroSource Associates, P.C. (HSA) is a small environmental company seeking an experienced Part-Time Office Administrator to work an average of 15 to 20 hours per week. Work schedule can be negotiated and highly flexible to meet the personal needs of the right candidate.

General responsibilities would consist of, but may not be limited to, the following:

o Accounts Payable/Bill Paying

o Accounts Receivable/Invoicing (with support from independent bookkeeper)

o AP, AR and corporate checking account record keeping and reconciliation

o Coordination with company’s bookkeeper; providing information they need to fulfill bookkeeping and payroll duties (time sheet and expense tracking and payroll functions are the responsibility of the company’s independent bookkeeper; the Office Administrator is responsible for distributing employee paychecks and payroll record keeping )

o Proposals, Contracts, Reports, Internal Communications, paper and email correspondence, etc. Word Processing: format, finalize, mail, catalog, file, as needed

o Multi-state filing requirements; preparation and filing of annual state registrations and reports

o Occasional contract-specific compliance duties including online queries/searches, due diligence, workforce utilization and EEO reporting

o Answering the telephone when present during office hours

o Maintaining an updated company contact list/rolodex

o Maintain updated company policies and Office Manager’s Manual

o Monitoring and ordering office and field supplies as needed

o Annual corporate vehicle registrations

o Yearly insurance renewals

o Performing annual Workers’ Compensation Audit

o Help wanted searches and publications as needed; Issuing and filing of required New Hire forms

o Maintain employee files: expenses, time sheets, payroll information

o Maintain labor compliance files; Update Dept. Of Labor postings and notifications

o Maintain corporate files: tax returns, notice of Shareholder and Director meetings, minutes, resolutions, etc.

o Company library maintenance: cataloging reports, proposals and published data

o Occasional shipping of water samples and testing equipment via FedEx, UPS and/or US mail; filing Chains of Custody as needed

o Monthly Server backup

o On-line and email account administration – adding/subtracting email accounts and tracking account renewals (web hosting/domain name registration)

o Tracking out-of-state hours logged for disability insurance reporting

o Making occasional travel arrangements/reservations – rental vehicles, hotels

o Annual sexual harassment training

Compensation: $25.00 per hour. Training and instruction can be provided for specific duties/responsibilities listed above that may be unfamiliar.
