Bookkeeper and Administrative Assistant

About Us: MTS is a mid size trading company specializing in delivering metals for high-performance and general

engineering needs.

Our team support diverse industries to include: High Tech, General Engineering, and

Aerospace.

Position Overview: We are seeking a detail-oriented, organized and experienced Bookkeeper and Administrative assistant to manage our financial records and support our accounting and operation team. The ideal candidate will have experience in bookkeeping, a solid understanding of accounting principles, and the ability to handle multiple tasks in a

fast-paced environment.

Key Responsibilities Bookkeeper :

1) Maintain and update financial records, including general ledger entries, accounts payable, accounts receivable, payroll, benefits, and Sales Tax.

2) Reconcile bank statements and credit card statements with company records.

3) Process and record invoices, payments, and receipts.

4) Prepare and submit monthly financial reports, including balance sheets and income statements.

5) Manage and track inventory levels and related financial transactions.

6) Assist with payroll processing.

7) Handle any discrepancies and resolve accounting issues as they arise.

8)Support periodical audits and financial reviews by preparing necessary documentation.

9) Collaborate with other departments to ensure accurate financial information and reporting.

Key Responsibilities Administrative assistant:

1) CRM: : Oversee and manage the Customer Relationship Management (CRM) data base to ensure accurate and up-to-date data.

2) Social Media: Enhance MTS's social media presence, particularly on platforms like LinkedIn and Google, by creating and executing effective strategies.

3) Advertisement: Implement targeted advertisement campaigns aimed at MTS’s customer base using the CRM.

4) Order Review and Compliance Monitoring: Review order journals to ensure compliance with company policies and that all customer promises are met.

5) Supplier Performance Monitoring: Assist in monitoring the performance of suppliers, ensuring adherence to service level agreements and quality standards.

6) Administrative Support: Provide general administrative support to the team as needed, ensuring smooth day-to-day operations.

Qualifications:

1. Proven experience as a Bookkeeper or similar role, preferably in a distribution, trading or

wholesale environment.

2. Strong knowledge of accounting principles and bookkeeping practices.

3. Proficiency in accounting software and MS Office (particularly Excel).

4. Excellent attention to detail and organizational skills.

5. Ability to manage multiple tasks and meet deadlines.

6. Strong communication skills and ability to work well in a team environment.

7. High school diploma or equivalent; Associate’s degree in Accounting or related field preferred.
