SUMMARY:
The Commercial Assistant in the Commercial Operations Department will be responsible for assisting the Commercial Operations Department as it relates to: Order Quotation, Entry, Processing, and Shipping. This position will also have back-up responsibilities for answering the main telephone.
The successful candidate will have experience in a customer-centric environment, preferably in import/export manufacturing, with excellent knowledge of Microsoft Office and a working knowledge of ERP systems. The successful candidate will have a pleasant phone presence and be willing to directly communicate with customers by phone or email in response or as first contact. Candidate must be detail oriented, able to work in a high paced environment efficiently and follow directions accurately, either in written or oral form. Candidate must be comfortable in conflict related circumstances, assuring the customer is adequately assisted within our policies and procedures. Candidate must be capable of performing independently and willing to take initiative.
Candidate will be responsible, hard-working, trustworthy, highly organized, and punctual. Candidate will be personable and be able to maintain a neat and orderly work area with a strong work ethic and positive attitude. Candidate will maintain a professional appearance in groom and dress. Candidate will exhibit professional and respectful communication both to outside customers and to colleagues within the organization.
WORK PERFORMED:
Daily:
Quotations (Parts and Accessories)
Order Entry, Order Processing
Preparation of Order Acknowledgements
Preparation of Shipments/Shipping Labels-Cartons and Courier
Provides Customers with information regarding shipments
Responds to Customer Inquiries via email or phone
Shares responsibility for answering the Company phone
Follow-up on “Payment Pending” orders
Other duties as assigned
Follow up on Order Status internally
IQOQ Notebook Completion for Shipment
Monthly:
End of month activities as assigned, to include IQOQ Notebooks and Order Folders
As Needed:
Assist with the shipment of Specialty Products
Interface with other Departments, i.e., Status of Orders
General Duties:

QUALIFICATIONS:
Experience:
Proven experience in a Customer Centric Environment
Experience with Microsoft Word, Excel and Outlook
Experience with SAP or an ERP system a plus
Education:
Minimum of High School Diploma
Some college preferred
Interpersonal Skills:
Superior organizational skills
Ability to multi-task
Professional approach and attitude
