Fleet Administrator

The Fleet Administrator will perform administrative duties to support the leadership of the Fleet Maintenance organization.

Essential Function:

- Responsible for insuring and documenting all vehicles on road are of legal status.

- Administration of vehicle registrations, distribution of renewals, replacement plates or credentials, initial registrations.

- Licensing and titling of vehicles and trailers not purchased through fleet company. Completing necessary paperwork and coordinating completion through NJMVC. Handling title issues, securing duplicate titles or transferring titles.

- Insurance cards, renewal distributions, point of contact for handling copies needed for new vehicles and misplaced cards.

- Administration of New York Hut decals, ensuring the legality of vehicles over 18K gross vehicle weight (GVW) traveling into New York. Processing renewal & distribution of Hut decals. Insuring vehicles traveling into New York have valid HUT decal as required by means of telematics.

- IRP (International Registration Plan) registrations, replacement plates and distribution of IFTA decal renewals. Ensuring new IRP vehicles have complete credentials (Cab card, New York Hut decal, IFTA decal, insurance, etc.)

- Administering and managing GPS and dashcam systems, users, software, and hardware. Accountability of unused GPS hardware and cameras. Point of contact for GPS issues and coordinating resolution with telematics supplier.

- Administration of company EZ pass account. Responsible for tracking and accounting for transponders linked to vehicles and on hand inventory. Generating weekly toll reports from EZ pass system and reviewing for fraud, excessive tolls, or personal tolls. Handling and disputing toll violations as necessary.

- Maintain vehicle assignments, spare vehicles, and asset inventory statuses in Maintenance (CMMS) software.

- Administration of team member fringe benefit program for personally used company vehicles. Coordinating with Fleet

-Analyst on reconciliation of team member deductions for payroll.

-Manage motor vehicle violations and distribute to responsible party’s manager.

-Perform weekly equipment/vehicle reconciliation to account for unreported assets.

-Monthly review of FMCSA (DOT) scoring system for roadside inspections resulting in Out of Service or violations.

-Other special duties or projects as directed by the Fleet Maintenance Leadership.

Minimum Qualifications and Required Skill:

-High school diploma or equivalent.

-Administrative experience in maintenance transportation construction or combination of experience and education.

-Knowledge of office procedures and basic bookkeeping procedures; data input.

-Proficient in Microsoft Excel, data management, and software systems.
